Purpose of the Report

The Jobs Dashboard provides a comprehensive overview of job activity across the organisation, allowing users to monitor the complete job lifecycle from job creation through completion and invoicing. It consolidates key operational metrics, job trends, and detailed job information into a single dashboard, enabling managers and operational teams to monitor workloads, track job progress, and identify areas requiring attention.

The dashboard is divided into four pages:

  • Summary – Presents a high-level overview of all jobs and their current status.

  • All Jobs – Displays detailed information for every job, with filtering and sorting capabilities.

  • Service – Focuses specifically on service-related jobs and servicing performance.

  • Repairs – Provides detailed insights into repair jobs, including repair status and first-time fix performance.

Together, these pages provide both executive-level summaries and detailed operational information for effective job management.


How to Access the Dashboard

  1. From the main navigation menu, select the Self Service module.

  2. Open the All Standard Dashboards folder.

  3. Locate Jobs Dashboard.

  4. Click Preview to open the dashboard.

  5. Apply any desired filters. The dashboard will automatically refresh based on the selected filter values.


Dashboard Overview

The dashboard contains four pages:

Page 1 – Summary

Provides a high-level overview of all jobs, including job states, task types, customer distribution, and charge code analysis.

Page 2 – All Jobs

Displays detailed information for all jobs, enabling users to search, filter, and review individual job records.

Page 3 – Service

Focuses on service jobs, providing servicing KPIs, charts, and detailed service job information.

Page 4 – Repairs

Focuses on repair jobs, including repair KPIs, repair status, first-time fix performance, and detailed repair job information.


Summary

Dashboard Filters & Descriptions

Call Date

  • Type: Date range selector

  • Default Value: Current Year

  • Description: Filters the dashboard using the job call date. All KPI indicators and visualisations update automatically based on the selected reporting period.


KPI Indicators

Cancelled

Displays the distinct number of cancelled jobs.

Applied Filter - Job State = Cancelled

Not Issued

Displays jobs that have not yet been issued to an engineer.

Applied Filter - Job State = Unissued

Issued

Displays jobs currently assigned to an engineer.

Applied Filter - Job State = Issued

All Completed

Displays the combined total of completed operational jobs.

Applied Filters

  • Job State = Completed

  • Job State = Submitted

  • Job State = Invoiced

Completed

Displays jobs that have been completed but may still require further processing.

Applied Filter - Job State = Completed

Submitted

Displays completed jobs that have been submitted for invoicing or administrative processing.

Applied Filter - Job State = Submitted

Invoiced

Displays jobs that have been successfully invoiced.

Applied Filter - Job State = Invoiced


Column Chart – Job Status

Displays job volumes over time.

How It Works

  • Values: Distinct Count of Jobs

  • Category Axis: Call Date (Year → Month)

  • Legend: Job State

This chart enables users to identify monthly job trends and monitor changes in workload over time.


Stacked Column Chart – Job Status by Customer

Displays the distribution of job states for each customer.

How It Works

  • Values: Distinct Count of Jobs

  • Category Axis: Account Name

  • Legend: Job State

This visual helps identify customers with the highest workload and the current status of their jobs.


Pie Chart – Job Type

Displays the distribution of jobs by task type.

How It Works

  • Values: Count of Task Type

  • Legend: Task Type

This chart provides an overview of the proportion of different job categories handled during the selected reporting period.


Pie Chart – Job Status

Displays the percentage distribution of jobs across each job state.

How It Works

  • Values: Distinct Count of Jobs

  • Legend: Job State

This visual provides an immediate overview of the organisation's current job status distribution.


Pie Chart – Charge Code

Displays jobs grouped by job cost code.

How It Works

  • Values: Distinct Count of Jobs

  • Legend: Job Cost Code

This chart helps users understand how work is distributed across different charge or cost codes.

Dashboard Filters & Descriptions

Call Date

  • Type: Date range selector

  • Default Value: Current Year

  • Description: Filters jobs using the job call date.

Agreed Visit Date

  • Type: Date range selector

  • Description: Filters jobs based on their agreed visit date.

Completed

  • Type: Date range selector

  • Description: Filters jobs according to their completion date.

Customer

  • Type: Drop-down selector

  • Description: Filters jobs by customer account name.

Site

  • Type: Drop-down selector

  • Description: Filters jobs by site name and location.

Equipment

  • Type: Drop-down selector

  • Description: Filters jobs by Equipment ID and equipment description.


Column Field Definitions (Data Table) – Jobs

Job No.

Unique job number assigned to the job.

Sub Job No.

Task or sub-job number associated with the main job.

Customer

Customer associated with the job.

Customer No.

Customer account number.

Site

Site or location where the work is performed.

Equipment ID

Unique identifier of the equipment.

Call Date

Date the job was logged.

Agreed Visit

Scheduled visit date agreed with the customer.

Completed

Date the job was completed.

Job State

Current processing stage of the job.

Job Status

Operational status of the job.

Engineer

Engineer assigned to the job.

Task Description

Description of the work to be carried out.

Additional Table Behaviour

  • Sorted by Agreed Visit in ascending order.

  • Conditional formatting highlights Agreed Visit dates occurring today by displaying a dark violet background with green text, making imminent scheduled visits easy to identify.


Service

Dashboard Filters & Descriptions

Period: Call Date

  • Type: Date range selector

  • Default Value: Current Year

  • Description: Filters service jobs based on the job call date.

Period: Completed

  • Type: Date range selector

  • Description: Filters service jobs using the completion date.

Customer / Site: Customer

  • Type: Drop-down selector

  • Description: Filters service jobs by customer account name.

Customer / Site: Site

  • Type: Drop-down selector

  • Description: Filters service jobs by site name and location.

Asset: Equipment

  • Type: Drop-down selector

  • Description: Filters service jobs using the Equipment ID and equipment description.


KPI Indicators – Servicing Summary

Unissued

  • Displays service jobs awaiting engineer assignment.

Applied Filters

  • Job State = Unissued

  • Task Type = Service Job

Issued

Displays service jobs currently assigned to engineers.

Applied Filters

  • Job State = Issued

  • Task Type = Service Job

Scheduled

Displays service jobs currently scheduled for completion.

  • Sorted by Agreed Visit in ascending order.

  • Today's agreed visit dates are highlighted using dark violet with green text.

Unissued

Displays repair jobs awaiting engineer assignment.

Displays the distribution of repair jobs by job state.

Displays the proportion of repairs successfully completed on the first visit.
