Purpose of the Report

The Job KPI's dashboard provides a high-level operational overview of key job performance indicators across the organisation. It consolidates job statistics, operational KPIs, and job distribution metrics into a single dashboard, enabling users to monitor workload, job progression, priority trends, and overall operational performance.

The dashboard is divided into two pages:

  • Job KPI's – Focuses on job-related KPIs, including job state, priority, cost codes, and root cause analysis.

  • All KPI's – Provides a broader operational overview by combining job KPIs with additional business metrics such as hire contracts, purchase orders, equipment safety, and site downtime.

Together, these pages provide management with an executive-level view of operational performance while allowing users to identify trends, bottlenecks, and areas requiring attention.


How to Access the Dashboard

  1. From the main navigation menu, select the Self Service module.

  2. Open the All Standard Dashboards folder.

  3. Locate Job KPI's.

  4. Click Preview to open the dashboard.

  5. Apply any desired filters. The dashboard will automatically refresh based on the selected filter values.


Dashboard Overview

The dashboard contains two pages:

Page 1 – Job KPI's

Provides an overview of job performance using key job state indicators, workload distribution, priorities, root causes, and job cost codes.

Page 2 – All KPI's

Provides a consolidated operational dashboard containing both job-related KPIs and wider business performance indicators, giving management a comprehensive operational snapshot.

Dashboard Filters & Descriptions

Issued Date Range

  • Type: Date range selector

  • Description: Filters the dashboard using the job issued date, allowing users to analyse KPIs for a selected reporting period.


KPI Indicators

Cancelled

Displays the distinct count of jobs that have been cancelled.

Applied Filter - Job State = Cancelled

All Open Jobs

Displays the total number of open jobs.

Applied Filters

  • Job State = Issued

  • Job State = Unissued

Unissued

Displays jobs awaiting engineer assignment.

Applied Filter - Job State = Unissued

Issued

Displays jobs that have been issued to engineers.

Applied Filter - Job State = Issued

All Completed

Displays the total number of completed operational jobs.

Applied Filters

  • Job State = Completed

  • Job State = Submitted

  • Job State = Invoiced

Completed

Displays jobs currently in the Completed state.

Applied Filter - Job State = Completed

Submitted

Displays completed jobs awaiting invoicing or final processing.

Applied Filter - Job State = Submitted

Invoiced

Displays jobs that have been successfully invoiced.

Applied Filter - Job State = Invoiced

Other

Displays jobs that do not belong to the primary operational job states.

  • Issued

  • Unissued

  • Completed

  • Submitted

  • Invoiced

  • Cancelled


Treemap – Job Distribution by State

Displays the proportion of jobs across each job state.

How It Works

  • Values: Distinct Count of Jobs

  • Details: Job State

This treemap provides a quick visual summary of the organisation's current workload distribution.


Pie Chart – State vs Priority

Displays how job priorities are distributed across each job state.

How It Works

  • Values: Distinct Count of Jobs

  • Legend: Job State

  • Trellis Columns: Priority

This chart enables users to compare job states across different priority levels.


Stacked Column Chart – Jobs by State vs Priority

Displays the relationship between job states and priorities.

How It Works

  • Values: Distinct Count of Jobs

  • Category Axis: Job State

  • Legend: Priority

Sort Order

Job states are displayed in the following order:

  • Cancelled

  • Issued

  • Completed

  • Submitted

  • Invoiced

  • Unissued


Treemap – Jobs by Cost Code

Displays the distribution of jobs across job cost codes.

How It Works

  • Values: Distinct Count of Jobs

  • Details: Job Cost Code

This visual helps identify which cost codes generate the highest workload.


Treemap – Jobs by Root Cause

Displays the distribution of repair jobs by root cause.

How It Works

  • Values: Distinct Count of Jobs

  • Details: Root Cause

This visual assists in identifying recurring operational issues.


Treemap – Jobs by Priority

Displays the distribution of jobs by priority level.

How It Works

  • Values: Distinct Count of Jobs

  • Details: Priority

This allows users to understand the overall balance of urgent versus routine work.

Dashboard Filters & Descriptions

Date Range

  • Type: Date range selector

  • Description: Filters all KPIs and visualisations using the selected reporting period.


KPI Kanban

Displays a summary of job volumes grouped by job state.

How It Works

  • Values: Distinct Count of Job Numbers

  • Category: Job State

The KPI Kanban provides a quick overview of the distribution of jobs across all job states.


KPI Indicators

Cancelled

Displays cancelled jobs.

Applied Filter - Job State = Cancelled

Issued

Displays issued jobs.

Applied Filter - Job State = Issued

Site Downtime

Displays the overall site downtime recorded during the selected reporting period, helping users monitor operational impact caused by equipment or service interruptions.

All Open Jobs

Displays the combined total of issued and unissued jobs.

Applied Filters

  • Issued

All Completed

Displays completed operational jobs.

Applied Filters

  • Invoiced

Closed Tasks

Displays the total number of completed tasks.

Applied Filter - Job State = Completed

Suspended Hire Contracts

Displays the total number of hire contracts currently in a suspended status.

Hire Equipment Over Predicted Hours

Displays the number of hire assets that have exceeded their predicted operating hours, helping identify equipment that may require servicing or review.

Open Breakdowns

Displays the number of active breakdown jobs.

Applied Filter - Priority = Breakdown

Expiring Order References

Displays the number of order references approaching expiry, allowing users to take action before they expire.

Delayed Overdue Skipped

Displays jobs or activities that are delayed, overdue, or have been skipped according to system rules, helping identify operational exceptions requiring attention.

Equipment Not Safe For Use

Displays the number of equipment assets currently marked as unsafe for operation.

Invoiced

Displays invoiced jobs.

Applied Filter - Job State = Invoiced

Completed

Displays completed jobs.

Applied Filter - Job State = Completed

Total Open Purchase Orders

Displays the number of purchase orders that remain open.

Applied Filter - Order Status <> Closed

Unissued

Displays unissued jobs.

Applied Filter - Job State = Unissued

Submitted

Displays submitted jobs.

Applied Filter - Job State = Submitted

Other

Displays jobs outside the primary operational job states.

Final Remarks

The Job KPI's dashboard serves as a comprehensive operational performance dashboard, bringing together key job statistics and wider business KPIs into a single reporting solution.
