Purpose of the Report

The Problematic Equipment dashboard is designed to identify equipment assets that experience the highest number of repair-related issues. By analysing repair frequency, first-time fix performance, equipment models, manufacturers, and engineer activity, the dashboard helps maintenance teams identify recurring problem assets and prioritise corrective actions.

The dashboard is divided into two pages:

  • Problem Assets – Highlights equipment with recurring repair issues using rankings, treemaps, and repair statistics.

  • Total Jobs by Asset – Provides a detailed breakdown of repair jobs by equipment, allowing users to investigate the repair history of individual assets.

Together, these pages help organisations improve equipment reliability, identify recurring failures, and support proactive maintenance planning.


How to Access the Dashboard

  1. From the main navigation menu, select the Self Service module.

  2. Open the All Standard Dashboards folder.

  3. Locate Problematic Equipment.

  4. Click Preview to open the dashboard.

  5. Apply any desired filters. The dashboard will automatically refresh based on the selected filter values.


Dashboard Overview

The dashboard contains two pages:

Page 1 – Problem Assets

Provides an analytical overview of equipment generating the highest number of repair calls, recurring repair failures, engineer activity, and equipment trends by make and model.

Page 2 – Total Jobs by Asset

Displays detailed repair activity for individual equipment assets, allowing users to review repair history and compare repair volumes across customers and equipment.


Problem Assets

Dashboard Filters & Descriptions

Customer / Site – Customer

  • Type: Drop-down selection

  • Description: Filters the dashboard for a selected customer account.

Customer / Site – Site

  • Type: Drop-down selection

  • Description: Filters the dashboard by customer site or location.

Asset – Equipment

  • Type: Drop-down selection

  • Description: Filters the dashboard for a specific equipment asset.

Asset – Make / Model

  • Type: Drop-down selection

  • Description: Filters the dashboard by equipment make and model.

Relative Dates Slicer – Problematic Range

  • Type: Relative date selector

  • Available Options:

    • This Month

    • This Year

    • Last 2 Quarters

    • Previous Year

    • Last 2 Years

    • Last 3 Years

  • Description: Filters repair activity using predefined relative date ranges, making it easy to compare equipment performance over different time periods.


Tree Map – Most Jobs by Engineer

Displays the engineers who have been assigned the highest number of repair jobs.

How It Works

  • Values: Percentage of Distinct Count of Job Numbers

  • Details: Issued Engineer

This visual highlights the engineers most frequently assigned to repair work.

Applied Filters

  • Task Type = Repair Job

  • Issued Engineer <> NULL

Ranking

Displays the Top 5 engineers ranked by the distinct count of repair jobs.


Column Field Definitions (Pivot Table – Total Repair Jobs (Not First Time Fix))

Field

Description

Account Name

Customer account associated with the repair job.

Site Name

Customer site where the repair occurred.

Equipment ID

Unique identifier of the equipment.

Jobs

Total number of repair jobs where the issue was not resolved on the first visit (First Time Fix = No).

Applied Filters

  • First Time Fix = 0

  • Task Type = Repair Job

  • Equipment Make <> NULL

Conditional Formatting

The Jobs column uses a star icon set to visually indicate repair frequency:

  • 67% or above – Fully shaded yellow star

  • 33% or above – Half-shaded star

  • Below 33% – Unshaded star

This allows users to quickly identify assets with higher numbers of repeat repairs.


Column Chart – Top Problem Assets with the Most Repair Calls

Displays the equipment assets generating the highest number of repair calls.

How It Works

  • Values: Distinct Count of Job Numbers

  • Category Axis: Equipment ID

Applied Filter

  • Task Type = Repair Job


Tree Map – Top Models with Most Issues

Displays the equipment models with the highest number of repair jobs.

How It Works

  • Values: Ranking based on Distinct Count of Job Numbers

  • Details: Equipment Model

Applied Filters

  • Task Type = Repair Job

  • Equipment Model <> NULL

Ranking

Displays the Top 5 equipment models with the highest repair counts.


Tree Map – Top Makes with Most Issues

Displays the equipment manufacturers with the highest repair frequency.

How It Works

  • Values: Ranking based on Distinct Count of Job Numbers

  • Details: Equipment Make

Applied Filters

  • Task Type = Repair Job

  • Equipment Make <> NULL

Ranking

Displays the Top 5 equipment manufacturers with the highest repair counts.


Column Field Definitions (Pivot Table – Ranking with Most Repairs)

Field

Description

Equipment ID

Unique identifier of the equipment asset.

Ranking

Ranking based on the distinct count of repair jobs for each equipment asset.

Applied Filters

  • First Time Fix = 0

  • Task Type = Repair Job

Conditional Formatting

The Ranking field uses a colour scale:

  • Lowest values – Green

  • Highest values – Orange

This makes it easier to identify equipment with the highest concentration of recurring repair work.


Total Jobs by Asset

Dashboard Filters & Descriptions

Period – Call Date

  • Type: Date range selector

  • Default Value: Current Year

  • Description: Filters repair jobs using the original call logged date.

Period – Completed Date

  • Type: Date range selector

  • Description: Filters repair jobs using the completed date.

Customer / Site – Customer

  • Type: Drop-down selection

  • Description: Filters jobs for a selected customer.

Customer / Site – Site

  • Type: Drop-down selection

  • Description: Filters jobs for a selected customer site.

Asset – Equipment

  • Type: Drop-down selection

  • Description: Filters repair jobs for a selected equipment asset.

Asset – Make / Model

  • Type: Drop-down selection

  • Description: Filters repair jobs by equipment make and model.

Displays the total number of repair jobs recorded for each equipment asset.

How It Works

  • Values: Distinct Count of Job Numbers
