The Perpetual Inventory report shows all stock checks raised in Service Geeni and highlights any discrepancies or variances found during those checks. It also records who raised each check and who accepted or rejected the adjustments.

Use this report to:

  • Track stock discrepancies and bin variances.

  • Monitor accepted and rejected stock adjustments.

  • Identify engineers who raised checks and users who approved or rejected them.

  • Ensure timely follow-up on stock variances to keep inventory accurate.


Getting There

When you need to run the Perpetual Inventory report:

  • Open the Business Intelligence module.

  • Click Reports.

  • In the Reports window, open the Stock category.

  • Select Perpetual Inventory.

  • Apply your filters, then click Apply to generate the report.


Available Filters and Their Impact

Use the filters at the top of the report to refine which perpetual inventory records appear.

  • Branch: Filters by the branch or depot where the perpetual inventory was raised.
    Defaults to the branch selected in the main Service Geeni interface.

  • Bin Location: Filters by the bin number where stock was checked.
    Use this to review discrepancies in specific warehouse areas.

  • Period: Filters by the Last Checked Date. Short periods show recent activity, while longer periods highlight trends.

  • Stock Discrepancy: Filters by discrepancy type:

    • Increase – variance greater than 0.

    • Decrease – variance less than 0.

    • Both – show all variances.

  • User PI: Filters by the engineer who raised the perpetual inventory.

  • User (Accepted/Rejected)
    Filters by the user who accepted or rejected the check.

  • Sort By: Sorts by Last Checked Date, either newest first or oldest first.

  • Only Include Latest Checked Date for Bins: Limits the report to the most recent check for each bin.

Pro Tip: Use this to quickly review the latest stock position across all bins.


Column Breakdown and Key Fields

Each row in the report represents a stock item checked in the perpetual inventory process.

Column

Description

Bin No.

Bin location number.

SKU

Stock item number.

Last Checked Date

Date the perpetual inventory was raised.

User PI

An engineer who raised the inventory check.

User (Accepted/Rejected)

The user who accepted or rejected the adjustment.

Status

Accepted or Rejected.

Increase

Shows the variance if greater than 0, otherwise 0.

Decrease

Shows the variance if less than 0, otherwise 0.

Variance

Total stocktake variance for the item.
