The Equipment Date Due Back report provides a forward-looking view of all equipment that is scheduled to be returned under active hire contracts. It enables teams to manage resource planning, customer follow-ups, and contract compliance by keeping track of return dates.

This report supports:

  • Tracking when hired equipment is due back from customers.

  • Planning logistics and collections.

  • Avoiding overbookings or late returns.

  • Reviewing active hire contracts with due-back equipment in a given period.

Ideal for operations, logistics, and contract management teams, this report offers visibility into return schedules for better service and planning.


Getting There

To access the Equipment Date Due Back Report in Service Geeni, follow these steps:

  • Select the Business Intelligence module from the main menu.

  • Choose the Reports sub-module.

  • In the Reports window, navigate to the Records category.

  • Click on the Equipment Date Due Back module to open the report.


Add the desired filters (explained below), then click the Apply button to generate the report.


Available Filters and Their Impact

Use the filters at the top of the report to refine your results and focus on specific data sets:

  • Branch: Filters data by the depot or branch managing the hire contract. Useful for reviewing return schedules by location.

  • Period: Filters by the Date Due Back of equipment. This enables visibility into return dates within a set time frame (e.g. next week, month, or quarter).

  • Hire Contract: Filters data by specific hire contract(s). Using this helps track equipment return activity tied to particular agreements.

  • Equip. ID: Filters results by a specific equipment record. This is ideal for tracking high-value or critical equipment that needs to be returned.

Pro Tip: Use the Period filter in combination with Branch to forecast equipment returns by region.


Column Breakdown and Key Fields

Each row in the report represents a single piece of equipment currently on hire with a confirmed due-back date.

Column Name

Description

Equipment ID

Unique identifier for the hired equipment item.

Equipment Start Date

Date the equipment was added to the hire contract.

Date Due Back

The scheduled return date for the equipment item.

Contract Number

Full hire contract reference, including version if applicable.

Contract Start Date

The official start date of the hire agreement.

Contract End Date

The expected or scheduled end/expiry date of the hire contract.
