The Hire Contracts report provides a detailed overview of all Equipment Hire contracts, including start and expiry dates, contract terms, invoice values, and associated hire details.

This report helps you:

  • Track the current status of hire contracts, including Active, Suspended, Expired, and Terminated.

  • Monitor invoice schedules and identify upcoming billing dates.

  • Analyse hire contract terms and invoice frequencies.

  • See how many equipment items are linked to each contract.

By combining operational and financial data, the Hire Contracts report supports day to day contract management, billing accuracy, and customer service planning.


Getting There

To access the Hire Contracts report in Service Geeni:

  • Open the Business Intelligence module.

  • Select the Reports sub-module.

  • Navigate to the Records category.

  • Click Hire Contracts to open the report.

  • Apply the required filters and click Apply to generate the results.


Available Filters and Their Impact

Use the filters at the top of the report to refine which hire contracts are displayed. These filters directly affect the data returned.

  • Branch: Filters contracts by the depot or branch managing the hire agreement. This is useful when reviewing contracts by region or business unit.

  • Period (Start and End Date): Limits the report to contracts active within the selected date range. This ensures the data reflects a specific reporting period.

  • Hire Contract: Allows you to select individual hire contracts. This is useful when reviewing known contract numbers in detail.

  • Contract Status: Filters contracts by their current status, such as Active, Suspended, Expired, or Terminated.

Note: Contracts with expired end dates and non-rolling terms are automatically marked as Expired, even if they remain technically Active in the system.

  • Contract Term: Filters contracts by their defined term, such as Rolling Contract or Fixed Term. This helps distinguish between short-term and ongoing agreements.

  • Invoice Frequency: Filters contracts based on how often they are invoiced, such as Monthly or Quarterly. This is useful when reviewing billing cycles across hire contracts.

  • Payment Term: Filters contracts by agreed payment terms, such as 30 Days or On Receipt. This supports financial checks and audit processes.

Pro Tip: Combine multiple filters to narrow the report down to very specific hire contract scenarios.


Column Breakdown and Key Fields

Each row in the report represents a single hire contract. The columns provide key contract and billing information.

Column Name

Description

Contract Number

Unique identifier for the hire contract, including revision number if applicable.

Contract Start Date

The date the hire contract commenced.

Contract Expiry Date

The planned end date of the contract (if defined).

Contract Term

Type of contract (e.g., Rolling, 12-month, Fixed Term).

Invoice Value

The value of the next invoice due.

Invoice Date

The date the last invoice was generated.

Next Invoice Date

The scheduled date for the next invoice to be raised.

Invoice Frequency

Frequency of invoicing (Monthly, Quarterly, etc.).

Payment Term

Customer’s agreed payment terms.

No. of Equipment

Total equipment items assigned to the contract.
