Business Intelligence Reports in Detail

Let's dig down into the details of what reports do and give you.

Reports can be found in Business Intelligence and give you a range of reports to choose from and a multitude of reports to fit your requirements.


Getting There

To get there:

  • Navigate to Business Intelligence.

  • Then, select Reports.

The reports shown depend on your user access rights. You can alter the access from Settings and then User Group Access, you might need an admin to do this.

For more information on User Access and Modules, check the user group access section in the User Settings article.

The reports listed are based on which modules you have enabled on your system. For example if you don't have Hire you won't have access to the Hire Reports on your system.


Records Reports

Service Contracts

Service Contracts gives a brief overview of the service contracts you have. It shows information about:

  • Contract period

  • Recurring invoice schedules

  • Number of equipment

  • Number of services

Filters

  • Branch - The report will use the branch selection from the main Service Geeni app, or where Select Branch is set to 'All Branches', allows you to choose branches to include.

  • Period - Includes contracts started before the end of the selected period and expiring after the start of the selected period (or it's a rolling contract).

  • Service Contract - Filters the report to specific contracts.

  • Contract Status - Filters the report by the contract's status.

  • Contract Term - Filters the report by the contract's term.

  • Invoice Frequency - Filters the report by the contract's frequency of invoice.

  • Payment Term - Filters the report by the contract's Payment Terms.

  • Service Level - Filters the report by service level.

Column Field Name

Description

Contract Number

Contract number of service contract.

State

Status of contract. Either active, expired, or cancelled.

Contract Start Date

Date the contract started.

Contract Expiry Date

Date the contract will end (will be blank if the contract is rolling).

Contract Term

Term of the contract. Either fixed term or rolling contract.

Invoice Value

Value of the next invoice due.

Invoice Date

Date of the last issued invoice.

Next Invoice Date

Next invoice date..

Invoice Frequency

Frequency that the invoice should be produced for the service contract.

Payment Term

Payment terms of invoice from the service contract.

Service Level

Service level of the service contract.

No. of Equipment

Number of equipment units included in the service contract.

No. of Services

Number of jobs that have been completed on the service contract.


Hire Contracts

This gives a summary of the hire contracts you have. It shows information about:

  • Contract period

  • Invoicing details

  • Number of equipment

Filters

  • Branch - The report will use the branch selection from the main Service Geeni app, or where Select Branch is set to 'All Branches', allows you to choose branches to include.

  • Period - This will include contracts started before the end of the selected period and expiring after the start of the selected period.

  • Hire Contract - Filters by specific hire contracts.

  • Contract Status - Filters the report by the contract's status.

  • Contract Term - Filters the report by the contract's term.

  • Invoice Frequency - Filters the report by the contract's frequency of invoice.

  • Payment Term - Filters the report by the contract's Payment Terms.

  • Period - Filters the report by contract created date.

  • Site - Filters the report by customer's site.

Quotations

This gives you general information about quotations. It shows information about revenue, costs, and margins. This report doesn't include archived quotations.

Filters

  • Branch - The report will use the branch selection from the main Service Geeni app, or where Select Branch is set to 'All Branches', allows you to choose branches to include.

  • Period - Includes quotations where the creation date falls within the selected period.

  • Quotation Type - Filters the report by the quotation's type.

  • Quotation Status - Filters the report by the quotation's status.

  • Customer Account - Filters the report by the customer account for which the quotation was raised.

  • Site - Filters the report by the relevant customer site for the quotation.

  • Include Expired Quotes - Includes any expired quotes when selected.

Job Quotations

Job Quotes give general information about the job quotations. It shows information about revenue, costs, and margins.

Hire Contract Off - Hire Revenue

This lists any equipment and charges on contracts with Off-hire status.

Filters

  • Branch - The report will use the branch selection from the main Service Geeni app, or where Select Branch is set to 'All Branches', allows you to choose branches to include.

  • Period - Specifies the period of time to be analysed.

  • Hire Contract - Filters by contract number or numbers to display in the report.

  • Equip. ID - Selects a specific or multiple equipment.

  • Hire Option - Filters by hire term to display in the report.

  • Hire Contract - Specifies what contract number or numbers to display in the report.

  • Equip. ID - Selects a specific or multiple equipment.

This lists equipment on contract with total hours used.

Filters

  • Branch - The report will use the branch selection from the main Service Geeni app, or where Select Branch is set to 'All Branches', allows you to choose branches to include.

  • Period - This will include contracts started before the end of the selected period and expiring after the start of the selected period.

  • Contract Type - Filters by contract type, Service and/or Hire. By default, both contract types are selected.

  • Contract - Filters the report to specific contracts.

  • Contract Status - Filters the report by the contract's status.

  • Contract Term - Filters the report by the contract's term.

Tabs

  • View By List - Displays detailed information on contract, contract equipment and clock hours.

  • View By Chart - Plots the total hours used from each contract for specific equipment.

The report shows a list of customers and some of their related information, as well as information on contacts that are not currently customers. The items from this report identify whether the customer/prospect has an active or inactive account.

Root Cause Analysis

You can view the number of incidents from completed, submitted, and invoiced jobs and their root cause in this report. The root cause and number of incidents are grouped by branches.

  • Period - Filters the report by date the job was completed.

  • Branch - The report will use the branch selection from the main Service Geeni app.


Equipment Warranty

This report shows a list of any equipment with a warranty period. You can see information about the warranty start date, expiry date and the days left before it expires.

Filters

  • Branch - The report will use the branch selection from the main Service Geeni app and filters the report by the selected branch of the equipment.

  • Equipment Make - Filters the report by the selected equipment make.

  • Equip. ID - Filters the report by the selected equipment ID.

  • Customer Account - Filters the report by the selected equipment's customer account.

  • Site - Filters the report by the selected equipment's site ID.

This report shows all equipment with no service contract, it will show all the equipment with no Active status.

  • Division - Filters the report by the selected division of equipment's customer account.

  • Site - Filters the report by the selected equipment's site ID.

  • Parent Group - Filters the report by the selected parent group of equipment's customer account.

This report shows the top 100 best and worst areas based on the amount of time between repair jobs being raised. This shows how long an area typically takes to have a fault.

Filters

  • Period - Filters the report to show the top 100 best and worst areas based on the specified time frame.

  • Branch - The report will use the branch selection from the main Service Geeni app. It filters the report by the selected branch of area.

Tabs

  • Best- Shows the top 100 best areas based on how much time they are available before having a fault.

  • Worst- Shows the top 100 worst areas based on the least time they are available before having a fault.

This report shows the top 100 best and worst equipment based on the amount of time between repair jobs being raised. This shows how long a piece of equipment typically takes to have a fault.

  • Period - Filters the report to show the top 100 best and worst equipment based on the specified time frame.

  • Branch - The report will use the branch selection from the main Service Geeni app and filter the report by the selected branch of equipment.

  • Best- Shows the top 100 best equipment based on how much time they are available before having a fault.

  • Worst- Shows the top 100 worst equipment based on the least time they are available before having a fault.

  • Worst- Shows the top 100 worst areas from the most to least time it was resolved.

Stock Reports

Draft Purchase Orders

This report displays a list of all draft purchase orders. These are orders that are in the process of being entered but are not confirmed and haven't been sent to the supplier.

Filters

  • Branch - The report will use the branch selection from the main Service Geeni app, or where Select Branch is set to 'All Branches', allows you to choose branches to include.

  • Period - Includes draft purchase orders where the creation date falls within the selected period.

This report shows a list of purchase orders that are open (including Partially Open).


Filters

  • Branch - The report will use the branch selection from the main Service Geeni app.

Tabs

  • View By Type - Displays the report by type as pie chart. Pie chart shows the number of POs based on the duration open categorised to less than 5 days, less than 10 days and 10 days or above.

  • View By Status - Displays the report by status as bar chart. Bar chart is showing as total number of purchase orders per supplier.

This report shows a list of purchase orders that are overdue (purchase orders where the required date has passed and they are still open or partially open).

  • Branch - The report will use the branch selection from the main Service Geeni app, or where Select Branch is set to 'All Branches', allows you to choose branches to include.

Tabs

  • View By Age - Displays the report by age as a pie chart. Pie chart is segmented by age of PO (days ago it was closed). Also shows a table with PO details.

  • View By Supplier - Displays the report by supplier as a bar chart. Bar chart shows the total number of purchase orders per supplier.
