Overview

The Jobs Service dashboard provides an overview of service jobs, including their current status, cost code distribution, agreed visit trends, and detailed job information. It is designed to help users monitor service activity and quickly identify outstanding, scheduled, and completed service jobs.

Users can apply filters to narrow the results by date, customer, site, or equipment. All dashboard visualisations and data will automatically refresh based on the selected filters.


Accessing the Report

To access the Jobs Service dashboard:

  1. From the navigation menu, select Self Service.

  2. Open the All Standard Dashboards folder.

  3. Locate Jobs Service.

  4. Click Preview to open the dashboard.

  5. Apply any required filters. The dashboard will automatically refresh based on the selected criteria.


Service

The Service page provides a summary of service jobs, including job status, cost code distribution, agreed visit trends, and detailed service job information.

Dashboard Filters

Filter

Description

Period: Call Date

Allows users to select a start and end date to filter service jobs based on when the job was originally logged or called in.

Period: Completed

Allows users to select a start and end date to filter service jobs based on their completion date.

Customer / Site: Customer

Filters the dashboard by customer name.

Customer / Site: Site

Filters the dashboard by site, including the site name and location.

Asset: Equipment

Filters the dashboard by equipment, using the equipment ID and equipment description.


KPI Charts – Servicing Summary

The KPI charts provide a quick overview of the current number of service jobs at each stage of the service process.

Unissued

Displays the distinct count of service jobs that are currently Unissued. This includes jobs where the Job State is "Unissued" and the Task Type is "Service Job".

This helps users identify service jobs that have been created but have not yet been issued for action.

Issued

Displays the distinct count of service jobs with a Job State of "Issued" and a Task Type of "Service Job".

This represents service jobs that have been issued and are ready for the assigned engineer or team to work on.

Scheduled

Displays the distinct count of service jobs with a Job State of "Scheduled" and a Task Type of "Service Job".

This provides visibility of service jobs that have been scheduled for a planned visit or activity.

Completed

Displays the distinct count of service jobs with a Job State of "Completed", "Invoiced", or "Submitted", where the Task Type is "Service Job".

This provides the total number of service jobs that have progressed through completion and the subsequent invoicing or submission stages.


Pie Chart – % Job by Status

Value: Distinct count of job
Legend: Job State

Displays the distribution of service jobs according to their current Job State.

The chart is filtered to Task Type = "Service Job", allowing users to see the proportion of service jobs that are unissued, issued, scheduled, completed, invoiced, submitted, or in other available states.

This provides a quick visual overview of the current service job workload and its progression through different stages.


Pie Chart – % Job by Cost Code

Value: Distinct count of job
Legend: Job Cost Code

Displays the distribution of service jobs across the different Job Cost Codes.

The chart is filtered to Task Type = "Service Job", allowing users to identify which cost codes are associated with the service workload and understand how service jobs are distributed across different charge or cost categories.


Stacked Column Chart – Agreed Visit

Value: Distinct count of job
Category: Agreed Visit Date – Year, then Month
Series: Job State

Shows the number of service jobs based on their Agreed Visit Date, broken down by year and month.

The different Job States are displayed as separate series, allowing users to compare the status of service jobs scheduled across different periods.

The chart is filtered to Task Type = "Service Job".

This is useful for identifying upcoming service activity, monitoring scheduled workload, and comparing job status across different months.


Data Table

The data table provides detailed information for each service job. It is filtered to Task Type = "Service Job".

Column

Description

Job No.

The unique job number assigned to the service job.

Customer

The customer associated with the service job.

Customer No.

The unique account or customer number associated with the customer.

Site

The site where the service work is required, including the relevant site information.

Equipment ID

The unique identifier of the equipment associated with the service job.

Call Date

The date when the service job was originally logged or called in.

Agreed Visit

The agreed or scheduled date for the service visit.

Completed

The date when the service job was completed.

Job State

The current state or stage of the service job, such as Unissued, Issued, Scheduled, Completed, Invoiced, or Submitted.

Job Status

The current status or status description associated with the service job.

Engineer

The engineer assigned to or responsible for carrying out the service work.

Description

The description of the service job or work required.

Last Service

The date of the most recent previous service associated with the equipment or service activity.

Last Service Work Done Notes

The work-done notes recorded against the most recent service, providing details of the work previously carried out.


Final Remarks

The Jobs Service dashboard provides a focused view of service activity from initial job creation through scheduling and completion. The KPI charts provide a quick status overview, while the pie charts show the distribution of service jobs by status and cost code.

The Agreed Visit chart can be used to monitor service workload over time, while the detailed data table provides the underlying job information required for reviewing individual service jobs.

For more detailed analysis, users can combine multiple filters, such as Call Date, Completed Date, Customer, Site, and Equipment, to narrow the dashboard results to the required service activity.
