Purpose of the Report
The Breakdowns dashboard is designed to provide visibility into equipment breakdown activities across their entire lifecycle, from open breakdown calls awaiting action through to completed and invoiced repairs.
The dashboard is divided into two pages:
Open Breakdowns – Focuses on active breakdown jobs that are currently unissued or issued and still require resolution.
Closed Breakdowns – Focuses on completed breakdown jobs that have been submitted, completed, or invoiced.
Together, these views enable users to monitor breakdown workloads, track outstanding issues, analyse completed repairs, and identify trends across customers, sites, and equipment.
How to Access the Dashboard
From the main navigation menu, select the Self Service module.
Open the All Standard Dashboards folder.
Locate Breakdowns.
Click Preview to open the dashboard.
Apply any desired filters. The dashboard will automatically refresh based on the filters selected.
Dashboard Overview
The dashboard contains two pages:
Page 1 – Open Breakdowns
Provides visibility into active breakdown jobs that have not yet been completed. Users can monitor current workloads, identify aging breakdowns, and track jobs awaiting assignment or completion.
Page 2 – Closed Breakdowns
Provides visibility into completed breakdown activities, allowing users to analyse completed repairs, invoiced jobs, and historical breakdown trends.

Call Date
Type: Date range selector
Default Value: Current Year
Description: Filters the dashboard based on the breakdown call date. All visualisations and tables update to display breakdowns raised within the selected period.
Customer
Type: Drop-down selection
Description: Filters the dashboard to display breakdown records for a selected customer account.
Site
Type: Drop-down selection
Description: Filters breakdown records to a specific customer site or operational location.
Equipment
Type: Drop-down selection
Description: Allows users to focus on breakdown activity for a specific asset.
Make & Model
Type: Drop-down selection
Description: Filters breakdown records by equipment manufacturer and model, supporting equipment-specific analysis.
KPI Indicators
The Open Breakdowns page contains several KPI indicators that categorise active breakdown jobs by status and age.
Not Issued
Displays the distinct count of Job Numbers where:
Job State = Unissued
Task Type = Repair Job
Represents breakdowns that have not yet been assigned to an engineer.
Cancelled
Displays the distinct count of Job Numbers where:
Job State = Cancelled
Task Type = Repair Job
Represents breakdown jobs that have been cancelled and will not proceed.
Issued
Displays the distinct count of Job Numbers where:
Job State = Issued
Task Type = Repair Job
Represents breakdown jobs currently assigned and awaiting completion.
1 Week
Displays breakdowns raised within the last week where:
Job State = Issued or Unissued
Priority = Breakdown
Task Type = Repair Job
Highlights recently reported active breakdowns.
1 Week – 1 Month
Displays breakdowns raised between one week and one month ago where:
Job State = Issued or Unissued
Priority = Breakdown
Task Type = Repair Job
Helps identify breakdowns that have remained unresolved for several weeks.
1 Month < 1 Year
Displays breakdowns raised between one month and one year ago where:
Job State = Issued or Unissued
Priority = Breakdown
Task Type = Repair Job
Highlights aging breakdowns requiring attention.
1 Year +
Displays breakdowns older than one year where:
Job State = Issued or Unissued
Priority = Breakdown
Task Type = Repair Job
Identifies long-outstanding breakdown records that may require investigation or closure.
Column Chart – Active Breakdowns
The Active Breakdowns chart displays the number of active breakdown jobs by customer and equipment.
How It Works
Groups breakdowns by Customer and Equipment ID.
Displays the distinct count of Job Numbers.
Helps identify customers and assets with the highest number of active breakdowns.
