Purpose of the Report

The Equipment Downtime Analysis - Top 10 Breakdowns dashboard is designed to help users identify equipment that experiences the highest number of breakdowns and the greatest amount of downtime. By highlighting the top-performing equipment in terms of breakdown frequency and downtime duration, the dashboard enables maintenance teams and operational managers to focus on assets that may require further investigation, preventive maintenance, or replacement planning.

The dashboard is divided into two pages, allowing users to analyse breakdown trends from two different perspectives:

  • By Instance – Focuses on the number of breakdown occurrences.

  • By Minutes – Focuses on the total downtime duration caused by breakdowns.

Together, these views provide valuable insights into equipment reliability and operational impact.


How to Access the Dashboard

  1. From the main navigation menu, select the Self Service module.

  2. Open the All Standard Dashboards folder.

  3. Locate Equipment Downtime Analysis - Top 10 Breakdowns.

  4. Click Preview to open the dashboard.

  5. Apply any desired filters. The dashboard will automatically refresh based on the filters selected.


Dashboard Overview

The dashboard contains two pages:

Page 1 – By Instance

This page identifies the top 10 pieces of equipment based on the number of breakdown-related jobs recorded.

Page 2 – By Minutes

This page identifies the top 10 pieces of equipment based on the total downtime duration (in minutes) caused by breakdown-related jobs.

Both pages share the same:

  • Dashboard filters

  • Column chart layout

  • Supporting data table

  • Data filters and sorting logic

The primary difference is the measure used within the column chart.


By Instance Page

Dashboard Filters & Descriptions

Branch Name

  • Type: Drop-down selection

  • Description: Filters the dashboard to display breakdown information for a specific branch or operational location.

Date Range

  • Type: Date range selector

  • Default Value: Last 7 days

  • Description: Controls the reporting period for breakdown records included in the dashboard. Adjusting the date range updates both the chart and data table.

Column Chart – Top 10 Breakdowns by Instance

The column chart displays the Top 10 Equipment Records based on the number of breakdown-related jobs recorded during the selected period.

How It Works

  • Counts the total number of Job Numbers associated with each equipment.

  • Displays the top 10 equipment records with the highest breakdown frequency.

  • Sorted in descending order by the count of Job Numbers.

  • Helps identify assets experiencing the most frequent breakdown events.

Applied Filters

The chart only includes records where:

  • Task Type = Repair Job

  • Priority Code = Breakdown

Use Case Examples

  • Identify equipment that frequently experiences breakdowns.

  • Monitor recurring failures across assets.

  • Prioritise equipment for further investigation or maintenance review.

  • Support reliability and asset management initiatives.

Column Field Definitions (Data Table)

The supporting data table provides detailed breakdown information for the equipment displayed within the report.

Column Name

Description

Equipment Details

Consolidated equipment information including Equipment ID, Make, Model, Type, and Serial Number.

Job Number

Unique identifier assigned to the repair job.

Reason For Call

Description of the issue reported when the breakdown job was raised. Commonly referred to as the job description.

Root Cause 1

Primary root cause category assigned to the breakdown.

Root Cause 2

Secondary level classification providing additional detail about the breakdown cause.

Root Cause 3

Third-level root cause classification for deeper analysis of the failure.

Date/Time of Breakdown

Date and time when the breakdown event occurred or was recorded.

Downtime Duration (Minutes)

Total downtime incurred for the breakdown event, measured in minutes.

Data Table Filters and Sorting

The data table uses the same filters as the column chart:

  • Task Type = Repair Job

  • Priority Code = Breakdown

The data is sorted by:

  1. Equipment Details (Ascending)

  2. Downtime Duration (Minutes) (Descending)

This sorting structure groups records by equipment while highlighting the longest downtime events first.


By Minutes Page

  • Sorted in descending order by the sum of Downtime Duration (Minutes).

  • Helps identify assets causing the greatest operational impact due to extended downtime.

The chart only includes records where:

  • Task Type = Repair Job

  • Priority Code = Breakdown
