The Contract Renewals and Terminations report gives you full visibility of which customer contracts have been renewed or ended within a timeframe you choose. This helps you stay proactive with customer retention, maintain service continuity, and understand why customers are leaving.

You can quickly identify:

• Which customers have recently renewed.


• Which contracts have been terminated and when.


• Trends in contract churn by branch, type, or date.


• Opportunities for account follow-ups and service improvements.

Getting There

You can find this report in Business Intelligence:

  • Head to Business Intelligence from the main menu and select Reports.

  • Choose the Records category.

  • Then select Contract Renewals and Terminations.

When the dashboard opens, apply your filters and click Apply to update the results.


Filter Options

The report features several key filters, allowing you to focus on the data that matters most.

  • Branch: Filter by the branch responsible for managing the contract
    Ideal for performance comparisons or regional account oversight.

  • Period: Select a date range for Renewals or Terminations
    Perfect for tracking contract activity during a week, month, quarter or financial year.

  • Contract Type: Choose specific contract groups, such as Service Contracts or Hire Contracts. Useful when renewal or termination behaviour differs by product or service.

  • Type: Choose to view Renewals, Terminations, or Both.

This determines which part of the contract lifecycle you want to analyse:

Renewals: Shows contracts successfully extended.


Terminations: Shows contracts that ended or were not renewed.


Both: Displays the full picture of customer movement.

Pro Tip: Use Period + Type together to track renewal success and churn trends over time — ideal for retention planning and service-improvement conversations.


Column Breakdown and Key Fields

Each row in the report represents a contract renewal or termination record.

Column Name

Description

Contract Number

Unique reference for the contract. Includes versioning when applicable.

Customer Name

Name of the customer account associated with the contract.

Contract Type

Describes the type of contract (e.g., Hire Contract, Service Contract).

Contract Term

Indicates the term length or description (e.g., 12-month rolling, fixed).

Original Start Date

The date the contract originally started.

New Expiry Date

The contract’s revised expiry date (after renewal).

Renewal Date

Date on which the contract was renewed. Only applicable for renewal records.

Termination Date

Date the contract was terminated. Only applicable for terminated contracts.

Termination Reason

Reason selected for contract termination. Useful for churn analysis.
