The Quotations report gives you a complete overview of all quotations created in Service Geeni. This includes sales, service, and equipment-related quotes, along with their values, margins, creation details, and current status.

It helps you stay in control of your quotation pipeline by supporting:

  • Sales pipeline analysis and opportunity tracking.

  • Reviewing quotation performance and value by branch or customer.

  • Margin and cost analysis for issued quotations.

  • Managing follow-ups and monitoring quote progression.

  • Identifying expired or accepted quotations for archiving or next actions.

Whether you work in Sales, Finance, or Operations, this report provides the insight you need to manage quotations effectively and convert them into confirmed business.


Getting There

To access the Quotations report in Service Geeni:

  • Open the Business Intelligence module.

  • Select the Reports sub-module.

  • In the Reports window, navigate to the Records category.

  • Click Quotations to open the report.

  • Apply the required filters, then click Apply to generate the results.


Available Filters and Their Impact

  • Branch: Filters quotations by the depot or branch associated with them. This is useful for regional performance tracking and sales oversight.

  • Period: Filters by the quotation Created Date. Use this to analyse quotes raised within a specific timeframe, such as monthly or quarterly.

  • Quotation Type: Filters by the type of quotation, such as Job Quote, Equipment Deal, Sales Order Quote, or Contract Quote. This helps separate activities across different areas of the business.

  • Quotation Status: Filters quotations by their current status, including Draft, Sent, Accepted, or Rejected. This is particularly useful for pipeline management and follow-up activity.

  • Customer Account: Filters the report for a specific customer or group of customers. Ideal for account managers reviewing customer quotation history.

  • Site: Filters quotations by the customer site linked to them. This is useful when customers operate across multiple locations.

  • Include Expired Quotes: When enabled, quotations that have passed their Valid Until date are included in the report. This is useful when reviewing historical quotes or analysing conversion trends over time.

Pro Tip: Combine Quotation Status, Period, and Branch to get a clear view of active sales opportunities across each region.


Column Breakdown and Key Fields

Each row in the report represents a single quotation. The columns provide detailed insight into the quote’s origin, value, and lifecycle.

Description

Branch

The depot or branch associated with the quotation.

Quote Year

The year in which the quote was created.

Quote Month

The month in which the quote was created.

Quote No.

The unique identifier for the quote.

Quote Desc.

Description or summary of the work quoted.

Quote Dept.

Department or division the quote belongs to.

Created Date

The date the quotation was generated.

Created By

The user who created the quotation.

Customer Reference

Reference provided by the customer.

Customer No.

Internal customer account number.

Customer Name

Name of the customer company.

Contact

Main contact person associated with the quote.

Quote Status

Current status of the quotation (e.g. Draft, Sent, Accepted).

Quote Type

Type of quote (e.g. Job Quote, Sales Quote, Equipment Deal).

Quote Start

The start date is related to the service or project in the quotation.

Site ID

Identifier for the customer site.

Site Name

Description of the customer site.

Ref No.

Reference number used internally or externally.

Cost Code

The cost code is applied to the quote.

Total Cost

Total estimated internal cost of the quoted work.

Total Value

Total selling value (price) of the quotation.

% Margin

Calculated profit margin based on cost and value.

Accepted Date

Date the quote was accepted (if applicable).

Quote Valid Until

The expiry date of the quote.

Date of Last Action

Timestamp of the last update or related activity on the quote.
