What are bins numbers are and where they’re used in Service Geeni.

Bin numbers are essential for organising and tracking inventory within a warehouse or storage area. Essentially, bin numbers are unique identifiers assigned to specific physical locations where items are stored. These bin numbers help users quickly locate and manage inventory, ensuring smooth warehouse operations.

  • Replenishment

  • Stock Takes

  • Stock Transfers

  • Pick Lists

  • Work in Progress (WIP)


Getting There

  • To access Bins, head to Stock Records via the Stock menu.

Stock Records

  • Location where you will hold this item in stock.

  • Select a Default Bin Number where these items will be stored.

or

  • Enter a bin number and a description.

  • You can toggle the switch.

Default Bins for Kits Part

You can add Default Bin locations where the kit part will be stored.

  • Navigate to Stock, Kit Parts.

Here you will see a list of all Locations.

Add Default Bin Location

  • Click +Add.

  • Complete the Bin details.

  • Branch or Van No*

    • If selecting a Branch the Van Reg No will be greyed out.

    • If selecting a Van it will enter the Reg No in the Vehicle Reg No field (if this has been pre-populated in the Engineer details)

  • Bin Location*

  • Vehicle Reg

  • Re-order Point*

  • Re-order Quantity*

Adding a new Bin

  • Select +Add.

  • Enter a Bin Number or name (the field allows both characters and numerics)

    and a description.

Associating a Bin with Van

To associate (link) a Bin with Van

  • Click on the ellipses (...) to select a van if the bin is associated with one.

  • Select Van.

Engineer Boxes

An Engineer maybe allocated a Box where Stock, Part are store for their collection.

The final section on the record is for Default Bin Locations and re-order points.

This allows you to set all the Bin locations for warehouses or vans that may hold this item in stock.

Multi Branch

If you are using a Multiple Branch system, and you want to set default bins for all your different branches and vans in Service Geeni – make sure you are in All Branches view.

  • Click Add to select a bin location for the part.

  • Select a Branch or Van number from the ellipsis.

  • If you select a van number, the van registration will be displayed, if it is stored on your engineers record.

  • Next, select a Bin Number from the list to add it or click add to create a new one.

  • Repeat the steps to add any additional default bin locations you need to create for this item.


Pick Lists

  • When preparing orders for shipment or delivery, pick lists are generated that include specific bin numbers. These lists tell warehouse staff exactly where to go to pick the items needed for the order. This speeds up the picking process and reduces errors.


Work in Progress (WIP)

  • For operations involving work in progress (such as assembly or packaging), bin numbers track the progress and movement of items. As items move through different stages of production, the system uses bin numbers to identify where each item is in the process and where it should go next.

Replenishment

  • Bin numbers play a vital role in inventory replenishment. When stock levels fall below a certain threshold, the system uses the bin numbers to identify where new stock needs to be delivered or replenished.

  • This helps warehouse staff know precisely where to place new inventory to maintain an optimal stock level in the correct location.

Stock Takes

  • Bin numbers are crucial during stock takes (or stock counting). The system assigns each item in the warehouse to a specific bin. This allows for accurate counting and tracking of stock levels. When employees conduct stock counts, bin numbers help them verify inventory in each location.

Stock Transfers

  • When stock needs to be moved from one location to another, bin numbers ensure that the items are transferred correctly. The system uses these numbers to guide the movement and ensure that items are stored in the right places. This helps prevent confusion or misplacement of goods.

Bin Locations

If you have multiple branches set up in Service Geeni, you can create the item in the All Branches view.

This will allow you to select a default bin from all the bins available across all your different branches.

  • You can also choose to add multiple Bin locations further down the page.

  • There is a drop-down to specify a country of origin for the part.

This is optional, but you can make a selection from the list if needed.

Add any notes to the item to complete the General Information section.
