Mobile Update

A New version of the Mobile App has been released, release notes for this can be found here: Mobile Release Notes

Enhancements (12)

Customer and Site details have a fresh new look

The Customer and Site Details screens across the module have a refreshed look, designed to make Service Geeni cleaner, faster and easier to navigate. Key customer information — name, number and status — now sits in the page header, with coloured icons highlighting important account settings at a glance, and details are grouped into clear horizontal sections so more fits on screen with less scrolling. The Sites tab gains a filter to narrow down site records, the Communication Centre has been visually refreshed for easier scanning, and the audit history now opens in its own full-screen tab rather than a pop-up. These changes are purely visual and do not change how the software works.

Forms can now read and write every type of custom field

Forms can now read from and write to a list type custom field. For example, a form can auto-populate from a list field on a piece of equipment and save any changes back to the equipment record, making forms far more flexible for capturing and updating custom data.

Purchase Orders can now be raised directly for Trade-In Equipment.

The Equipment Deal Trade-In process has been enhanced to allow Purchase Orders to be raised directly from the Trade-In tab for both Catalogue Trade-Ins and existing Equipment Trade-Ins.

For Catalogue Trade-Ins marked Add to Stock, the Purchase Order is raised against the selected Catalogue and the Cost Price defaults to the Trade-In Value. The Deal Customer is automatically matched to an existing Supplier where available, or a new Supplier is created using the Customer details. Goods Receiving then follows the standard equipment process and creates the Equipment Record at the Trade-In value.

For existing Equipment Trade-Ins, Purchase Orders can also be raised directly against the applicable Equipment Record using the standard Equipment Purchase Order process. For more details click here.

On-stop customer checks across more modules

The customer 'on stop' check now applies across jobs, sales orders and miscellaneous invoices , each governed by its own user-access setting.

For sales orders and miscellaneous invoices the check runs as soon as the customer is selected, and for jobs at the point the job is raised, so users are warned or blocked as early as possible. This gives consistent, early control over activity against accounts that are on stop.

PO Number Capture for Service & Hire Quotes and Contracts via Esignatures

E-signature documents now support optional **PO Number/Order Reference** entry for Service and Hire Quotes and Contracts. Entered PO details are captured and available against the relevant document/contract in the Order Ref field.

Control whether labour rounding applies to cost price

A new setting, "Apply charge code rounding to cost price", has been added to Job System Defaults. It controls whether labour rounding is applied to cost price as well as revenue. Travel rounding is not affected by this setting and continues to apply to revenue only.

The setting is switched on by default, so labour rounding continues to apply to both revenue and cost and there is no change to current behaviour on upgrade. Customers who want labour rounding applied to revenue only can switch the setting off at any time from Job System Defaults.

Custom Address Support for Job-Based Part Requests

Engineers can now enter, save, and select a Custom Address when raising a job-based Part Request in the Mobile App. The selected Custom Address is synchronized to the Web Application and remains displayed when the Part Request is viewed or edited.

_This option is turned off by default , please speak to your Customer Success Manager for further assistance._

Database component updated for continued performance and support

We have updated the underlying database component that Service Geeni uses to a newer version. This keeps the platform on current, well-supported technology and supports reliable, performant database access across the application.

Filter Job Control by customer damage and invoice value

Users can now add Customer Damage and Invoice Value as columns and filters on the Job Control and scheduler grids.

This makes it easier to sort and focus on jobs by their invoice value or where customer damage has been recorded, helping schedulers prioritise the right work.

Ignore contract discount option for service levels

Users can now mark individual service levels to ignore the customer's contract discount, so contracts using those service levels are charged at the full contract value.

A new Ignore Contract Discount checkbox is available in service level setup; when a service contract uses a service level with this enabled, the effective contract discount is treated as 0%. Customer-level contract discounts continue to apply normally for service levels that do not have the option switched on, and changing the service level on a contract immediately recalculates the displayed discount and the related invoice values.

This gives operations and finance teams tighter control over contract pricing and reduces manual corrections.

Upload HEIC photos anywhere on the web app

Users can now upload HEIC image files at every document upload point in the web application, so photos taken on Apple devices can be attached without converting them first.

Uploaded HEIC files are stored and can be viewed or downloaded like any other supported document, and HEIC now appears in the list of accepted file types shown when an unsupported file is selected.

PDF generation updated to current technology

We have updated the technology behind Service Geeni's PDF generation. This keeps document creation on a current, well-supported engine and helps documents generate reliably with correct page layouts.

Fixes (11)

Job description carries through to the task description

After a recent update, the reason for call or repair description did not always populate the task description when raising a job, especially after opening and closing the Notes popup, forcing users to re-enter it.

This has been fixed so the job description now consistently carries through to the task description for both standalone jobs and jobs raised from quotations.

Engineer stock can be transferred back to the depot

When stock was de-installed to an engineer, it was assigned the original depot bin, which meant the receipt could not be found and the stock could not be transferred back to the depot.

This has been fixed so the correct bin is now resolved for the chosen destination when stock is de-installed, and an explicitly selected destination bin is honoured. Engineers and stock controllers can move de-installed stock back to the depot without it becoming stuck.

Service reminder emails show the correct date and time

Service reminder emails were not applying the tenant's time zone, so the date and agreed time shown in the email could differ from the values in Job Control.

This has been fixed so reminder emails now use the configured time zone, and the dates and times match those displayed in Job Control. Customers receive accurate visit details in their reminders.

On-hand stock values show correctly in Self Service Reports

Some stock items showed a blank On Hand value in Self Service Reports even though the Stock Valuation Report showed stock available, because of how depot quantities were being calculated.

This has been fixed so On Hand and other-location quantities now calculate correctly in Self Service Reports. Users get consistent stock figures across their reports.

Set Schedule stays available when invoicing large equipment deals

When invoicing an equipment deal and selecting all equipment, the Set Schedule button could become disabled on the final item due to a rounding discrepancy in how amounts were totalled. This has been fixed, so Set Schedule now remains available and deals of any size can be scheduled for invoicing.

Engineer name now shown for jobs raised on mobile

When engineers raised jobs through the mobile app, the name of the person who created the job was not shown on the job record in Job Control, leaving the office team unable to see who had raised the work. Jobs raised on mobile now display the engineer's name correctly, giving office staff clear visibility of who created each job.

Engineer Holiday Entries Now Included in Timesheet Export

An issue has been fixed where engineer holiday entries were visible in the Internal Engineer Timesheet but were missing from the exported Excel report. Holiday entries are now included correctly when exporting the timesheet.

City and county print in the correct order on purchase orders

The supplier address on purchase orders printed the county before the city, so the address lines appeared in the wrong order.

This has been fixed so the supplier address now prints city before county. Purchase orders show supplier addresses in the correct, expected order.

Quotation labour and travel rates print at the correct sell rate

On printed and previewed quotations, the labour and travel sell rate could display slightly off — for example £79.52 instead of £79.50 — because the rate was derived from the rounded line total.

This has been fixed so quotations now show the stored sell rate while keeping the correct rounded line total. Customers receive quotes with accurate rates.

Reliable job raising when an agreed visit date is entered

Some users intermittently saw an error when raising a job, caused by the agreed visit date not being converted correctly from the regional date format.

This has been fixed so jobs raise reliably whether the agreed visit date is typed in, chosen from the date picker, or left blank. Coordinators can raise jobs without hitting intermittent errors.

Correct delivery address on parts sales credit notes

Parts sales credit notes linked to an invoice showed an incorrect delivery address, taken from the customer or site record rather than the address saved on the credit note.

This has been fixed so credit notes now use the delivery address saved against them. Customers see the correct delivery address on their parts sales credit notes.
