Overview

The Out of Order report provides a real-time overview of equipment that is currently marked as Out of Order (OOO). It enables users to monitor equipment that is unavailable for use, identify how long assets have remained out of service, review assigned engineers, and track active breakdowns requiring attention. The report is divided into three pages, each presenting the Out of Order information using different filtering criteria to support operational monitoring and maintenance management.

To access the report, navigate to Self Service from the main navigation menu, open the All Standard Dashboards folder, locate Out of Order, and click Preview. Users can apply the available filters, and the dashboard will automatically refresh to display the corresponding data.


Page 1 – Live OOO – Based on Equipment Status

This page displays all live Out of Order equipment based on the equipment status recorded within the system.

KPI Charts

Total OOO

  • Displays the total number of distinct equipment currently marked as Out of Order (OOO). This KPI includes equipment with a status of OOO and records where the equipment status is NULL.

< 1 Day

  • Displays the number of Out of Order equipment reported within the previous day, allowing users to identify newly reported Out of Order assets.

1 Day – 1 Month

  • Displays the number of Out of Order equipment with call dates occurring within the last month, excluding equipment reported during the previous day.

> 1 Month

  • Displays the number of Out of Order equipment that has remained out of service for more than one month, helping identify long-standing issues requiring further investigation.


Column Chart – Equipment Status

Displays the distribution of equipment based on their current equipment status.

Configuration

  • Values: Distinct Count of Equipment

  • Axis (Category): Equipment Status

This chart provides a quick overview of the different equipment status categories currently recorded.


Pivot Table – Live Out of Order Equipment

Displays detailed information for each active Out of Order equipment record.

Time Elapsed (Days)

Number of days the equipment has remained Out of Order since the call was logged.

Note Added

Date and time the latest note was added.

Note

Latest engineer or operational note relating to the Out of Order equipment.

Filters Applied

  • Job State = Issued and Unissued

  • Equipment Status = OOO and NULL

This page focuses on Out of Order equipment associated specifically with Breakdown priority jobs.

KPI Charts

Total OOO

  • Displays the total number of distinct equipment currently associated with Breakdown priority jobs.

< 1 Day

  • Displays Breakdown priority equipment reported during the previous day.

1 Day – 1 Month

  • Displays Breakdown priority equipment reported within the last month, excluding the previous day.

> 1 Month

  • Displays Breakdown priority equipment that has remained active for more than one month.


Column Chart – Equipment Status

Displays the current equipment status for Breakdown priority jobs.

Page 3 – Live OOO – Based on VOR Flag on Priority

This page displays live Out of Order equipment using the Vehicle Off Road (VOR) priority criteria, allowing organisations to monitor assets that have been classified as unavailable for operational use.

  • Displays the total number of distinct equipment currently marked as Out of Order (OOO).

< 1 Day

  • Displays equipment that became Out of Order during the previous day.

1 Day – 1 Month

  • Displays equipment that has remained Out of Order within the last month, excluding the previous day.

  • Displays equipment that has remained Out of Order for more than one month.

The Out of Order report provides operational teams with a real-time view of equipment that is currently unavailable for service. This dashboard supports faster decision-making, improved asset availability, and more effective management of ongoing equipment breakdowns.
