Purpose of the Report

The Servicing dashboard is designed to provide a comprehensive overview of service job performance, scheduled maintenance activities, and equipment servicing status. It enables users to monitor service workloads, track completed and outstanding service jobs, and identify equipment with upcoming or overdue servicing requirements.

The dashboard is divided into three pages, allowing users to analyse servicing operations from different perspectives:

  • Servicing Summary – Provides an overview of service job activity, job status, and servicing performance.

  • Jobs – Displays detailed information for individual service jobs.

  • Services Due / Overdue – Identifies equipment with upcoming or overdue servicing requirements to support proactive maintenance planning.

Together, these pages provide valuable insight into servicing operations and help ensure maintenance activities are completed on time.


How to Access the Dashboard

  1. From the main navigation menu, select the Self Service module.

  2. Open the All Standard Dashboards folder.

  3. Locate Servicing.

  4. Click Preview to open the dashboard.

  5. Apply any desired filters. The dashboard will automatically refresh based on the filters selected.


Dashboard Overview

The dashboard contains three pages:

Page 1 – Servicing Summary - Provides a high-level overview of service job activity, job statuses, servicing performance, and upcoming workloads.

Page 2 – Jobs - Displays detailed information about individual service jobs, including financial values, engineers, dates, and job statuses.

Page 3 – Services Due / Overdue - Focuses on equipment servicing schedules by highlighting overdue services, upcoming maintenance, and equipment requiring new service jobs.


Servicing Summary

Dashboard Filters & Descriptions

Call Logged

  • Type: Date range selector

  • Description: Filters the dashboard using the date the service request or job was logged.

Completed

  • Type: Date range selector

  • Description: Filters the dashboard using the service job completed date.

Customer

  • Type: Drop-down selection

  • Description: Filters servicing information for a selected customer.

Site

  • Type: Drop-down selection

  • Description: Filters servicing activity for a selected customer site or operational location.

Equipment

  • Type: Drop-down selection

  • Description: Filters servicing records for a selected piece of equipment.


KPI Indicators

The Servicing Summary page contains KPI indicators that provide an overview of service job progression.

Due – To Be Raised

  • Displays the number of servicing activities that are due but where a service job has not yet been created.

Due – Raised

  • Displays the number of servicing activities that are due and have had a service job created.

Issued

  • Displays the number of service jobs currently issued to engineers for completion.

Scheduled

  • Displays the number of service jobs that have been scheduled but not yet completed.

Completed

  • Displays the number of completed service jobs.

Overdue

  • Displays the number of service jobs that have passed their expected servicing date and remain incomplete.


Pie Chart – Service Jobs by Status

The pie chart provides a breakdown of service jobs by their current job state.

How It Works

  • Displays the distinct count of Job Numbers.

  • Groups records by Job State.

  • Provides a visual overview of the distribution of service jobs across different stages of completion.

Applied Filter

  • Task Type = Service Job


Stacked Column Chart – Service Jobs by Agreed Visit Date

The stacked column chart displays servicing activity over time.

How It Works

  • Displays the distinct count of Job Numbers.

  • Groups data by the month and year of the Agreed Visit Date.

  • Uses Job State as the series to show the status of service jobs within each period.

Applied Filter

  • Task Type = Service Job

Use Case Examples

  • Monitor servicing workloads over time.

  • Identify periods with high servicing demand.

  • Compare completed and outstanding service jobs by month.


Indicator – Equipment With Servicing to be Completed

The indicator provides an overview of servicing completion against the total equipment requiring servicing.

How It Works

  • Actual Value: Count of Completed Dates.

  • Target Value: Count of Equipment IDs.

This indicator provides a quick measure of servicing completion progress across the equipment fleet.


Column Field Definitions (Data Table – Service Jobs)

Column Name

Description

Agreed Visit Date

Scheduled date agreed for the service visit.

Completed Date

Date the servicing work was completed.

Time Elapsed

Total time taken between job creation and completion, or the elapsed duration of the servicing activity.

Job No.

Unique identifier assigned to the service job.

Customer

Customer associated with the service job.

Site

Site where the servicing work is performed.

Equipment ID

Unique identifier of the serviced equipment.

Engineer

Engineer assigned to complete the service job.

Job State

Current status of the service job.

Fixed Price

Indicates whether the job is billed using a fixed-price arrangement.

Job Revenue

Revenue generated from the completed service job.

Description

Job and Sub

Parent job number together with the associated sub-job or task number.

Customer

Customer associated with the service job.

Site

Site where the servicing work was carried out.

Equipment ID

Unique identifier of the serviced equipment.

Call Date

Date the service request was logged.

Agreed Visit Date

Scheduled service visit date.

Completed Date

Date the servicing work was completed.

Engineer

Engineer assigned to the service job.

Job State

Current state of the job.

Job Status

Operational status of the service job.

Task Description

Description of the servicing task performed.

Cost

Total cost incurred for the servicing work.

Revenue

Revenue generated from the servicing work.

Last Service

  • Type: Date range selector

  • Description: Filters equipment based on the date the last service was completed.

Next Service Due

  • Type: Date range selector

  • Description: Filters equipment according to the next scheduled service due date.

Customer

  • Type: Drop-down selection

  • Description: Filters servicing records for a selected customer.

Equipment

  • Type: Drop-down selection

  • Description: Filters servicing information for a selected asset.

Make & Model

  • Type: Drop-down selection

  • Description: Filters servicing records by equipment manufacturer and model.


KPI Indicators

Servicing Summary

Due – To Be Raised

  • Displays servicing activities that are due but where no service job has yet been raised.

Due – Raised

  • Displays servicing activities that are due and have an associated service job.

Overdue Servicing

Overdue by < 1 Day

  • Displays equipment that has become overdue within the last day.

Overdue

  • Displays the total number of overdue servicing records.

Overdue by < 1 Week

  • Displays equipment overdue by less than one week.

Overdue by 1 Month

  • Displays equipment overdue by up to one month.

Overdue by > 1 Month

  • Displays equipment overdue by more than one month.

Next Servicing

Due To Be Raised

  • Displays upcoming servicing requirements that have not yet had a service job created.

Due – Raised

  • Displays upcoming servicing requirements with service jobs already raised.

Issued

  • Displays upcoming service jobs currently issued to engineers.

Scheduled

  • Displays upcoming service jobs scheduled for completion.

Completed

  • Displays upcoming servicing activities that have already been completed.

Overdue

  • Displays upcoming servicing activities that have exceeded their planned due date.

Date the previous service was completed.

Last Service

Description or reference of the previous servicing activity.

Service Next Due

Scheduled date of the next required service.

Overdue (Days)

Number of days the service is overdue.

Customer

Customer associated with the equipment.

Site

Site where the equipment is located.

Equipment ID

Unique identifier of the equipment.

Description

Description of the equipment.

Last Work Done Notes

Notes recorded during the previous servicing activity.

Last Service TCC

Task Cost Code or servicing classification associated with the previous service.

Status

Current servicing status of the equipment.

Job No.

Job number associated with the servicing activity.


Final Remarks

The Servicing dashboard provides a complete overview of servicing operations by combining service job monitoring, detailed job information, and equipment servicing schedules into a single reporting solution. Through its three dedicated pages, users can monitor service performance, review completed work, and proactively identify equipment approaching or exceeding their servicing intervals.

Regular review of this dashboard can improve maintenance planning, reduce overdue servicing, optimise engineer workloads, and help ensure that preventative maintenance activities are completed on time to maximise equipment reliability and operational performance.
