Purpose of the Report

The PPM Actual vs Due dashboard is designed to help users monitor the completion performance of Planned Preventive Maintenance (PPM) activities. By comparing the number of completed PPM jobs against the total number of scheduled PPM jobs, the dashboard provides a clear view of maintenance compliance and completion rates.

The dashboard enables maintenance managers, supervisors, and operational teams to track preventive maintenance performance, identify outstanding PPM activities, and ensure scheduled maintenance programs are being completed within expected timeframes.


How to Access the Dashboard

  1. From the main navigation menu, select the Self Service module.

  2. Open the All Standard Dashboards folder.

  3. Locate PPM Actual vs Due.

  4. Click Preview to open the dashboard.

  5. Apply any desired filters. The dashboard will automatically refresh based on the filters selected.


Dashboard Filters & Descriptions

The dashboard includes date-based filters that allow users to analyse PPM performance across different reporting periods.

Relative Date

  • Type: Relative date selector

  • Available Options:

    • Last 7 Days

    • Last 30 Days

    • Last Quarter

    • Month-to-Date

    • Year-to-Date

  • Description: Allows users to quickly filter the dashboard using predefined date ranges. This provides a convenient way to analyse PPM completion performance over commonly used reporting periods without manually selecting dates.

Date Range

  • Type: Date range selector

  • Default Value: Blank

  • Source Field: Job Created Date

  • Description: Allows users to define a custom reporting period by selecting a start date and end date. When applied, all dashboard visualisations and data will update to reflect PPM jobs created within the selected date range.


Gauge Indicator – PPM Completion Performance

The Gauge Indicator provides a high-level summary of Planned Preventive Maintenance completion performance.

How It Works

  • Displays the total number of completed PPM jobs as the Actual Value.

  • Uses the total number of PPM jobs as the Target Value.

  • Calculates and displays the percentage of completed PPM jobs compared to the total scheduled PPM workload.

  • Provides an at-a-glance view of overall PPM compliance.

Applied Filter

The gauge only includes records where:

  • Priority = Scheduled PPM

Use Case Examples

  • Monitor overall preventive maintenance completion rates.

  • Track maintenance team performance against scheduled workloads.

  • Identify periods where PPM completion levels may be falling below expectations.

  • Support maintenance planning and resource allocation decisions.


Pie Chart – PPM Jobs by Status

The pie chart displays the distribution of PPM jobs across different job statuses.

How It Works

  • Groups records by Job State.

  • Displays the total count of Job Numbers within each Job State category.

  • Provides a visual breakdown of completed, active, and pending PPM activities.

Applied Filters

The chart only includes records where:

  • Priority = Scheduled PPM

  • Job State ≠ Submitted

This ensures the chart focuses on active and progressed PPM jobs rather than newly submitted records.

Use Case Examples

  • Monitor the current status of preventive maintenance activities.

  • Identify bottlenecks within the maintenance workflow.

  • Track how many jobs are completed, in progress, or awaiting action.

  • Support operational review and maintenance planning discussions.


Column Field Definitions (Data Table)

The supporting data table provides detailed information about individual PPM jobs included within the report.

Column Name

Description

Job Number

Unique identifier assigned to the maintenance job.

Equipment ID

Unique identifier of the equipment associated with the PPM activity.

Equipment Make

Manufacturer of the equipment.

Equipment Model

Specific model of the equipment.

Job Description

Description of the maintenance work or preventive maintenance task being performed.

Priority

Priority classification assigned to the job. For this report, records are limited to Scheduled PPM jobs.

Target Date

Scheduled date by which the PPM activity should be completed.

Completed Date

Date when the PPM activity was completed.

Issued Engineers

Engineer or engineers assigned to perform the maintenance activity.

Status

Current status of the maintenance job.

Data Table Filters

The data table only includes records where:

  • Priority = Scheduled PPM

This ensures that all displayed records relate specifically to Planned Preventive Maintenance activities.
