Purpose of the Report

The Equipment On Service With Excess Usage report provides detailed visibility into equipment currently under service contracts that are being used more intensively than anticipated.

By comparing actual clock-hour readings against the predicted weekly usage defined in the contract, this report helps identify serviced equipment that exceeds expected operational hours.

This enables maintenance teams, service coordinators, and contract managers to:

  • Detect early signs of equipment overuse that may lead to increased wear or premature failure.

  • Review and adjust service schedules or maintenance intervals based on real-world usage.

  • Assess compliance with service agreements and determine whether excess usage charges may apply.

  • Support data-driven decision-making for service planning and customer communications.

This report is ideal for tracking service asset performance and preventing avoidable downtime through proactive servicing.


Getting There

To access this report:

  • Open the Business Intelligence module.

  • Click Reports.

  • In the Reports window, navigate to the Equipment category.

  • Click on the Equipment On Service With Excess Usage module to open the report.

  • Apply the desired filters (explained below), then click the Apply button to generate the report.


Available Filters and Their Impact

Use the filters at the top of the report to refine the dataset and focus on specific contracts, branches, customers, or equipment.

Adjusting these filters directly controls which records are returned in the report.

  • Branch: Filters the report based on the selected branch or depot from the main Service Geeni system. Displays only serviced equipment associated with that location.

    • Leaving this filter blank returns data across all branches.

  • Period: Defines the reporting date range using contract start and expiry dates.
    Ensures that only contracts active within the selected period are included in the report.

  • Customer Account: Filters the data by the selected customer account number.
    Allows you to review equipment usage linked to a specific customer.

  • Contract: Filters the report to a specific service contract.
    Focuses the results on equipment covered under that contract only.

  • Equip. ID: Filters the report by a specific equipment ID.
    Useful when analysing usage for an individual asset.

  • Include Excess Usage Only (Checkbox): When selected, displays only equipment where the Average Weekly Usage exceeds the Weekly Predicted Hours. When unselected, the report returns all serviced equipment, regardless of usage levels.


Chart Overview – Equipment Usage Over Time

Select any equipment from the Equipment column to display a bar chart showing daily clock-hour usage for that item.

The chart provides a visual breakdown of how usage changes over time across the service contract period, helping you to:

  • Identify patterns of high or inconsistent usage.

  • Compare actual usage against contract expectations.

  • Support service scheduling and maintenance planning.

Tip: Use this chart to determine whether excess usage is consistent over time or driven by short-term operational spikes.


Column Breakdown and Key Fields

Each row in the report represents a piece of serviced equipment and its related usage data for the specified contract period.

Column Name

Description

Contract Number

Unique identifier of the service contract linked to the equipment.

State

The current status of the service contract (e.g., Active, Suspended, Expired, Off Hire, Terminated, PMCS Completed).

Contract Start Date

The date the service contract began.

Contract Expiry Date

The expected or agreed end date of the service contract.

Contract Term

The descriptive term or duration of the service contract (e.g., Weekly, Monthly).

Equipment

The unique identifier (Equipment ID) of the equipment being serviced.

Weekly Predicted Hours

The expected number of operational hours per week as defined in the service contract.

Start of Clock Hours

The clock reading recorded at the beginning of the service contract.

Last Clock Reading

The latest clock-hour reading available within the selected reporting period.

Average Weekly Usage

The calculated average usage in hours per week, derived using regression analysis when multiple readings exist or an average based on total duration. Equipment with a higher value than the predicted hours is flagged for excess usage.
