Reserving Stock In Service Geeni

Stock reservation is when a certain amount / quantity of inventory / stock is set aside " reserved" for a specific purpose, such as an order on a job, to ensure availability. It's commonly used in inventory management to hold products for future use or to fulfil your customer orders.

There are 4 ways you can get to Stock Reservation

  • Reserve Stock module.

  • From the Stock Record module.

  • From the Action Tray.

  • From the tab in Stock Records.

  • Click Add Stock Reservations.

In the Stock Reservations window, fill in all the appropriate fields.

Quantity to Reserve from On-Hand

  • Here you can enter the amount of the stock to reserve.

A reserve quantity must be entered for either Reserve from On - Order or Reserve from On - Hand.

Serial Number

  • This field will be pre-populated, however, if you change the branch then you can change these details.


Reservation Type

Reservation Type lets you specify what the stock items are for. The drop-down list offers you a choice of six types: Job, Service, Job Quote, Sales Order Quote, Sales Order and Other.


Job

  • When reservation type Job is selected, enter the corresponding job number.

  • Click on the ellipse, find the Job and select.


Service

  • When reservation type Service is selected, enter the corresponding Service.

  • Click on the ellipse, find the Service Job and select.


Job and Sales Order Quote

  • When you select Job or Sales Order Quote, you need to choose the corresponding quote number.

  • Click on the ellipse, find the Job Quote and select.

Sales Order

  • If you select the reservation type Sales Order, via the ellipsis, select the corresponding sales order.

Other

  • The final type is Other, when this reservation type is selected, you need to provide a reason.

  • Valid Until: For this field, you can enter the date when this reservation is valid until. After this date, the reservation will be cancelled and stock will return to the on-hand quantity if not used.

  • Quantity to Reserve from On - Order: Enter quantity to reserve from the on-hand amount.

A reserve quantity must be entered for either Reserve from On - Order or Reserve from On - Hand.

  • Issue Type: Here you can specify how the stock is issued:

    • Automatic: Automatic will issue the stock when the job/quote is raised.

    • Manual: When Manual is selected, a user must action it to issue the reservation.

  • On GRN Notification to Recipients: This will send a notification to any recipients selected.

    • Click the ellipses On GRN (Goods Received Notice)Notification to Recipients.

    • Select the Recipient/s to receive the notification.

  • Notification to Request Recipients: This field allows you to set a user to be notified when the stock reservation has been raised, if you are raising the reservation on behalf of another user.

    • You can easily add these recipients via the ellipses.

    • From the list, select the Recipient/s to receive the notification.

  • +Add: To add the stock reservation you need to click +Add.

If you need to add more stock reservations, repeat the above steps.

  • Finally, click Save.


From Stock Record

  • From within a Stock Record, you can click on Reserve Stock and add it.

  • To do this from the Action Tray, click on the Stock Reservation icon.

In the Stock Reservations window, fill in all the appropriate fields.

  • Quantity to Reserve from On-Hand: Here, you can enter the amount of the stock to reserve.

A reserve quantity must be entered for either Reserve from On - Order or Reserve from On - Hand.

  • Serial Number: This field will be pre-populated; however, if you change the branch, then you can change these details.


Trouble Shooting

Cannot Add Reservation

If you encounter this error, check to see if the record has Stock on Hand or On Order using the columns Stock Count and On Order.
