Release Notes 6.85.66

J
Written by Jui Hande

The following fixes and improvements were included in version 6.85.66 (Web), released on 22 October 2026.

A New version of the Mobile App has been released, release notes for this can be found here: Mobile Release Notes

Enhancements (10)

Engineer Licence Expiry Alerts

Back-office administrators now receive alerts before an engineer's licence expires, including Gas Safe registration. Notifications name the engineer and expiry date and are sent 30, 14 and 7 days before expiry. This helps teams renew licences in time and avoid scheduling work to an engineer whose licence has lapsed.

UI Refresh: Kit Parts and On Demand Parts

Kit Parts and On Demand Parts now use the refreshed Service Geeni design, with a cleaner layout that is easier to read and quicker to work in. On Kit Parts, actions are grouped into two clear levels with the most-used ones kept up front, action buttons use distinct colours so they are easier to spot, and users can update a Required Quantity by clicking it, typing the new number and saving. The On Demand Parts screen shows stock status and related quantities at the top of the page so they stay in view, and data grids now fit the screen with no sideways scrolling. Everything users could do before is still available, and some tasks now take fewer clicks.

Editable VAT on Part Return Credit Notes

Users can now adjust the VAT amount on individual lines of a part return credit note. VAT can be changed in 1p steps, totals recalculate automatically after each change, and rounding differences of up to 2p are permitted. This allows credit notes to match the supplier's figures exactly, so postings to the accounts package are correct.

Pending Device Updates Cleared on Data File Refresh

When a data file is refreshed on a device, the system now skips any older updates still waiting to go out for that file and takes the device straight to the latest data. This shortcut means far less repeat data is sent to devices, so syncing is quicker and engineers are always working from up-to-date information.

Equipment Deal Completion Checks Trade-Ins and Catalogue Items

The Complete Deal pop-up on equipment deals now checks every item on the deal before it can be completed, including catalogue equipment for sale and all trade-ins. Catalogue equipment must be goods-received, and trade-ins must be received, either through their purchase order or using a new Mark as Received option where no purchase order has been raised. A new Trade-In section lists anything still outstanding, and the pop-up only shows sections that have outstanding items, so deals with nothing outstanding can be completed straight away. This prevents deals from being closed while equipment or trade-ins are still to arrive.

Advance notification before a contract's order reference expires

Back-office users now receive an internal notification seven days before a service contract's Order Ref (PO) expiry date. The notification shows the customer, contract reference, current Order Ref and expiry date, and includes a View option that opens the contract so a new PO can be entered straight away. It is sent once per expiry date, recalculates automatically if the expiry date is updated, and is not sent for POs that have already expired. This gives teams time to obtain a new PO before recurring invoicing is affected.

Show or Hide Form Fields Based on Other Answers

Form designers can now set up rules that show or hide fields on a form based on the value entered in another field. As an engineer fills in the form, fields appear or disappear automatically according to these rules. This keeps forms shorter and easier to complete, as engineers only see the questions that apply to the job in front of them.

Hide or Lock Individual Fields on Forms

Form designers can now set any field or field set on a form to Hidden, Read-only or Normal. Hidden fields do not appear on the form, read-only fields display their value but cannot be edited, and the setting applies only to that form, so the same field can be hidden on one form and editable on another. Settings on a field set apply to every field within it, and hidden or read-only fields never stop a form from being completed because of mandatory or validation checks. This gives designers more control over what engineers see and change, without needing to duplicate fields.

Contract Repair Pricing Follows Equipment Cover Dates

Repair jobs now receive the contract repair charge code only when the equipment's contract cover is active on the job's call date. The cover window uses the equipment's Add to Contract and Remove from Contract dates, falling back to the contract's own start and end dates where these are blank, and both dates are included. Outside that window, the default repair charge code is applied.

Fixes (26)

Edited equipment records stay visible after saving

After editing and saving an equipment record, the record could disappear from the Equipment Records list and return "No equipment found" when searched, even though the changes had saved. Edited equipment records now remain available and searchable in the list straight after saving.

Fixed Original Selling Price Display for Part Requests

Fixed an issue where the Original Selling Price was not displayed correctly for Part Requests raised from the Mobile application's Main Menu and subsequently linked to a job from Web. The Original Selling Price now correctly matches the Selling Price on the Job Details page.

Last Login Times Shown Correctly in User Management

In User Management, the Last Login column could show times in the future because the time zone was being applied twice. Last login times are now shown correctly in each user's local time, giving an accurate picture of user activity for auditing.

Fractional Estimated Hours When Adding Tasks to Jobs

When adding a new task to an existing job, the Estimated Hours field would not accept part hours such as 0.5, even though this worked when raising a new job. The field now accepts decimal values, so users can enter accurate estimates from the start.

Equipment Details Shown on Equipment Deal Invoices

Equipment deal invoices were being generated without the details of the equipment sold, its line items or equipment notes, even though the template included them. Equipment deal invoices now show the full equipment details, so customers receive complete and accurate invoices.

Clearer Signature Boxes on Mobile Risk Assessments

On some risk assessment forms in the mobile app, engineers did not realise the signature boxes needed to be tapped, and the forms offered a 'Not Required' option that allowed signatures to be skipped. Blank signature boxes now show 'Tap to add signature' and the 'Not Required' option has been removed, so risk assessments are always signed by both the engineer and the customer.

Catalogue Items Editable When Adding to Purchase Orders

When adding a catalogue item to a purchase order, the edit option only appeared after clicking Show All, so items could not be edited from the first view. Catalogue items can now be edited straight away, making it quicker to add the right item to a purchase order.

Catalogue Lookup Pages Load on Purchase Orders

When choosing a catalogue item for a purchase order, moving past the first page of the Select Catalogue ID list showed 'No records found', even though more items existed. Page navigation now works correctly, so users can browse and select any catalogue item.

Invoice Value Now Updates in Job Control

The Invoice Value shown in Job Control could display zero or an out-of-date amount, even though the job's Financial Information showed the correct total. Job totals are now saved whenever charges change, including parts, labour, travel, expenses and goods received directly to a job, so Job Control always reflects the current invoice value.

Equipment Update API Documentation Completed

The API documentation for updating equipment did not list the fields that could be updated or include any examples. It now shows every supported field, the required Equipment ID, example requests and responses, and guidance on setting workshop sub-locations, making it easier for integrators to update equipment records correctly.

PO Miscellaneous Costs Post to Cost of Sales on Non-Chargeable Jobs

Miscellaneous items booked to non-chargeable jobs through a purchase order stayed in the control account instead of moving to cost of sales, leaving balances that had to be corrected by hand. These costs now post to cost of sales in the same way as miscellaneous items added directly to a job, keeping the nominal ledger accurate at month end.

Target Completion Date Recalculates When Priority Changes

When raising a Service Call, changing the priority code made the Target Completion Date and Time disappear rather than updating. The target date and time now stay visible and recalculate straight away for the newly selected priority, so users always see the correct completion target.

Equipment Deals Update When Linked Transfers Complete

When an equipment transfer raised from an equipment deal was completed, the deal still showed the equipment as Awaiting Equipment Transfer, so it could not be finalised. Completing the transfer, whether manually, through a transfer job or by the scheduled process, now marks the deal's equipment as delivered, allowing the deal to be completed straight away.

Engineer Name and Signature Shown on Job Sheets

Some job sheets were missing the engineer name and signature section, even though the engineer had signed the linked survey form. Job sheets now pull through the engineer's name and signature from the survey form, so customers receive a complete, signed record of the work.

Service Kits in Stock No Longer Require a PO

When booking service stock to a job, a service kit could show red and require a purchase order or parts request even though enough assembled kits were in stock, because a shortage of one of its component parts was counted against it. This has been fixed: kit availability now takes priority over component stock, so a kit with enough stock on hand shows green and can be issued directly to the job.

On-Demand Item Type Saves Correctly on Stock Records

When editing a stock record, choosing On-Demand Item and saving did not keep the change, and the record reverted to Item Held in Stock. The selected item type is now saved correctly, so stock records keep the type users choose.

Duplicate Equipment IDs Now Prevented

After equipment had been bulk uploaded, adding new equipment with an automatically generated ID could create a duplicate of an existing Equipment ID, which then blocked both records from being edited. Equipment IDs are now always checked for duplicates, including generated IDs, so every equipment record keeps a unique ID.

Sales Order Number Shown on Stock On Order List

In Stock Records, the On Order list left the Sales Order No. column blank for purchase order lines raised from the newer sales orders. The column now shows the linked sales order number for all purchase order lines, so users can see which customer order each incoming item is for.

Quote Templates Available When Quoting from Service Call

When raising a quote from a Service Call, the quote template list was empty, so no template could be selected. The list now shows the site's job quote templates, so users can raise quotes from Service Call in the usual way.

Engineer Skills Filter Works Without Criteria

On the redesigned Engineers screen, clicking View Result in the Skills filter without choosing any skills showed an error. The filter now handles an empty selection correctly, so users can search engineers without running into errors.

Contract Notice Period Fields Added During Upgrade

Some systems were missing the new service contract notice period fields after the last upgrade, which could cause errors on contract screens. The upgrade process now adds these fields automatically, so service contract termination works as expected on every system.

Clearer Validation for Non-Chargeable Hours on Charge Codes

When saving a charge code with Include Non-Chargeable Hours ticked and a value of 0, a 'Fill the highlighted fields' message appeared but no field was highlighted, leaving users unsure what to correct. The field is now highlighted and a clearer validation message is shown, so users can see exactly what needs changing.

Jobs Without Labour Rates Can Now Be Submitted

Some jobs could not be submitted for invoicing, with nothing happening when Submit was clicked, if an engineer booking on the job had no labour or travel rates attached. These jobs now submit correctly, so they can be invoiced without delay.

Hire Contracts Keep Their Own Termination Process

Hire contracts were showing the service contract notice period fields and termination pop-up, including the automatic credit note prompt intended only for service contracts. These options now appear on service contracts only, and hire contracts continue to use their existing termination and off-hire process.

Correct Time Zone Applied When Signing In with SSO

Users signing in through single sign-on (SSO) could be given the wrong time zone, and were unable to correct it themselves. The time zone is now taken from the user's browser during SSO sign-in, so dates and times display correctly from the moment users log in.

Hire Contract History Shows Current Contract Status

The Hire Contract History pop-up in Equipment History showed the status a contract had at an earlier revision rather than its current status, which could be misleading. The pop-up now always displays the contract's current status, in a column renamed Contract Current Status, so users can rely on it when checking where equipment is on hire.

Read From Form Fields Selection Works on New Forms

On a newly added form, choosing Form Fields under a field's Read From setting showed a 'Something went wrong' error. Form designers can now select a related form field without an error and complete the Read From set-up.
