Overview

The Cost to Maintain Equipment Age Value report provides an overview of equipment maintenance costs, condition, ownership, value, and age. It helps users understand how much is being spent to maintain equipment, identify equipment in different conditions, review hire fleet and customer-owned equipment, and compare equipment value and age.


The report contains 7 pages:

  3. Hire Fleet

  4. Customer Owned

  5. Equipment Value

Users can apply the available filters on each page to focus the information on specific customers, equipment, dates, makes/models, or other relevant criteria. The dashboard will automatically refresh based on the selected filters.


Cost to Maintain – 1st Page

The Cost to Maintain page provides an overview of the costs associated with maintaining equipment. It allows users to review individual equipment costs and identify which makes and models have the highest overall maintenance costs.

Dashboard Filters and Descriptions

Customer: Customer

Allows users to filter the report by customer name using the text box.

Equipment: Status

Allows users to filter equipment based on its current equipment status.

Equipment: Type

Allows users to filter equipment by equipment type.

Period: Collected

A calendar date picker used to filter equipment based on the collected date within a selected start and end date.

Period: Due Back

A calendar date picker used to filter equipment based on the due-back date within a selected start and end date.


KPI Charts – Cost to Maintain

Sum of Job Costs

Displays the total job costs associated with equipment. This is filtered to equipment with an Active contract status.

Available for Hire

Displays the number of equipment items available for hire, filtered to equipment with an Active contract status.


Data Table – Cost to Maintain

The table provides a detailed breakdown of maintenance costs for each piece of equipment.

Columns:

  • Equipment ID – Unique identifier of the equipment.

  • Job Costs – Total costs recorded against jobs for the equipment.

  • Labour Costs – Total labour costs associated with maintaining the equipment.

  • Misc Costs – Total miscellaneous costs associated with the equipment.

  • Travel Costs – Total travel costs associated with maintaining the equipment.

  • Overall Costs – Overall maintenance cost for the equipment.

  • Stock Parts Costs – Total costs of stock parts used for the equipment.

  • Time Costs – Costs associated with the time spent working on the equipment.


KPI Kanban – Cost the Most by Make & Model

Displays the makes and models with the highest overall maintenance costs.

  • Value: Sum of Overall Cost

  • Category: Make & Model

This allows users to quickly identify which equipment makes and models are costing the most to maintain.


Condition – 2nd Page

The Condition page provides an overview of equipment condition and allows users to compare equipment condition across equipment statuses and makes/models.

Status

Allows users to filter equipment by equipment status.

Type

Allows users to filter equipment by equipment type.

Make & Model

Allows users to filter the report by equipment make and model.


Stacked Column Chart

  • Values: Distinct count of equipment

  • Axis: Equipment status

  • Legend: Condition

Shows the number of equipment items within each equipment status, broken down by their condition.


Stacked Bar Chart

  • Values: Distinct count of equipment

  • Axis: Make & Model

  • Legend: Condition

Shows the number of equipment items for each make and model, grouped by their recorded condition.


Data Table

Provides detailed information about the condition and status of individual equipment.

Columns:

  • Account – Customer or account associated with the equipment.

  • Site – Site where the equipment is located.

  • Equipment ID – Unique identifier of the equipment.

  • Location – Specific location associated with the equipment.

  • Make & Model – Manufacturer make and model of the equipment.

  • Condition – Recorded condition of the equipment.

  • Equipment Status – Current status of the equipment.


Hire Fleet – 3rd Page

The Hire Fleet page focuses on equipment classified as part of the hire fleet and provides information about its maintenance costs and key equipment details.

Make & Model

Allows users to filter the hire fleet by equipment make and model.


Pie Chart

  • Values: Sum of Overall Cost

  • Legend: Equipment ID

Shows the overall maintenance cost associated with each hire fleet equipment item, allowing users to compare maintenance costs across individual equipment.


Data Table – Hire Fleet – Cost to Maintain

Provides detailed information about hire fleet equipment and its associated costs and value.

Columns:

  • Labour Costs – Total labour costs associated with the equipment.

  • Equipment ID – Unique identifier of the equipment.

  • Equipment Status – Current status of the equipment.

  • Equipment Category – Category assigned to the equipment.

  • Date Into Stock – Date the equipment was added to stock.

  • Redundancy Percentage – Percentage used to represent the equipment's redundancy or depreciation-related value.

  • Year of Manufacture – Year in which the equipment was manufactured.

  • Insurance Value – Insured value of the equipment.

The table is filtered to equipment where Equipment Category = "Hire Fleet" and the equipment is not archived.


Customer Owned – 4th Page

The Customer Owned page provides information about equipment classified as customer-owned and allows users to review associated maintenance costs and equipment values.

Data Table – Customer Owned – Cost to Maintain

Columns:

  • Labour Costs – Total labour costs associated with the equipment.

  • Equipment ID – Unique identifier of the equipment.

  • Equipment Status – Current status of the equipment.

  • Equipment Category – Category assigned to the equipment.

  • Date Into Stock – Date the equipment was added to stock or recorded in the system.

  • Redundancy Percentage – Percentage used to represent the equipment's redundancy or depreciation-related value.

  • Year of Manufacture – Year in which the equipment was manufactured.

  • Insurance Value – Insured value of the equipment.

  • Invoice Total – Total invoice amount associated with the equipment.

The table is filtered to equipment where Equipment Category = "Customer" and the equipment is not archived.

The Equipment Value page provides an overview of equipment values and allows users to compare selling prices and insurance values across different equipment makes and models.

  • Values: Distinct count of equipment make

  • Axis: Equipment Make & Model, Insurance Value

Allows users to compare equipment makes and models based on their recorded insurance values.

Columns:

  • Depot – Depot associated with the equipment.

  • Account – Customer or account associated with the equipment.

  • Site – Site where the equipment is located.

  • Equipment ID – Unique identifier of the equipment.

  • Location – Location associated with the equipment.

  • Make & Model – Manufacturer make and model of the equipment.

  • Selling Price – Recorded selling price or estimated sale value of the equipment.

  • Insurance Value – Recorded insurance value of the equipment.

  • Service Cost Code – Cost code used to identify the relevant service or maintenance cost category.


Equipment Age – 6th Page

The Equipment Age page provides an overview of equipment age and allows users to identify how equipment is distributed across different age groups and makes/models.

Page 7 – Financial Analysis

The Page 7 provides a detailed financial breakdown of jobs, including revenue, costs, profit, and profit margins. It allows users to analyse the financial performance of individual jobs and the different cost components associated with them.

Repair Cost Code

Allows users to filter the financial information by the repair-related cost code.

Task Cost Code

Allows users to filter the financial information by the task cost code.


Pivot Table – Revenue

Values:

  • Cost – Total cost associated with the job.

  • Charge – Total amount charged for the job.

  • Sum of Timings Revenue – Total revenue generated from job timings.

  • Timings Cost – Total cost associated with recorded job timings.

  • Sum of Timings Profit – Profit generated from the difference between timings revenue and timings cost.

Rows:

  • Job No. – Unique job number used to identify the job.


Pivot Table – Cost

Values:

  • Sum of Job Costs – Total cost associated with the job.

  • Sum of Misc Costs – Total miscellaneous costs.
