Overview

The Hire Contracts dashboard provides a comprehensive overview of all hire contracts within the system. It enables users to monitor contract statuses, invoicing values, contract terms, hired equipment, associated charges, and contract exceptions. The dashboard helps contract managers, finance teams, and operational staff monitor active contracts, identify contracts requiring attention, and review equipment and billing information.


Accessing the Dashboard

To open the dashboard:

  1. Navigate to Self Service from the main navigation menu.

  2. Open the All Standard Dashboards folder.

  3. Locate Hire Contracts.

  4. Click Preview to open the dashboard.

Once opened, users may apply any available filters. All charts, KPIs, and tables automatically refresh based on the selected filter values.


Dashboard Pages

The Hire Contracts dashboard consists of five pages:

  2. Summary Charts

  3. Summary – Drill Down

  4. Equipment

  5. Exceptions


Page 1 – Hire Contract Summary

This page provides an overall summary of hire contract activity, contract status, invoicing values, and contract terms.

KPI Charts – Hire Contract

Completed

Displays the distinct count of contract numbers where the Contract Status Description contains "Completed".

Active

Displays the distinct count of contract numbers where the Contract Status Description contains "Active".

Off-Hire

Displays the distinct count of contract numbers where the Contract Status Description contains "Off-Hire".

Cancelled

Displays the distinct count of contract numbers where the Contract Status Description does not contain "Active" or "Terminated".

Suspended

Displays the distinct count of contract numbers where the Contract Status Description contains "Suspended".

Terminated

Displays the distinct count of contract numbers where the Contract Status Description contains "Terminated".

Rolling

Displays the distinct count of contract numbers where the Contract Term Description is Rolling Contract.

Fixed

Displays the distinct count of contract numbers where the Contract Term Description is Fixed Term.

Net Invoicing

Displays the sum of Next Invoice Value for Fixed Term contracts.

Current Invoicing

Displays the sum of Invoice Value for Rolling Contract agreements.


Data Table

The table displays detailed hire contract information.

Column Definitions

Account Name & No & Contract - Displays the customer account name, account number, and associated contract number.

Start - Displays the contract start date.

Expiry - Displays the contract expiry date.

Contract Term - Displays whether the contract is a Fixed Term or Rolling Contract.

Term Type - Displays the configured contract term type.

Invoice Start - Displays the date invoicing begins.

Next Invoice - Displays the next scheduled invoice date.

Invoice Amount - Displays the recurring invoice amount.

Amount - Displays the total contract amount.

Payment Terms - Displays the customer's agreed payment terms.


Pie Chart – Count of Status

Values - Distinct Count of Contract Number

Legend - Contract Status Description

Purpose

Provides a numerical breakdown of contracts by status.


Pie Chart – % Status

Values - Distinct Count of Contract Number

Purpose

Displays the percentage distribution of contracts across each contract status.


Page 2 – Summary Charts

This page provides graphical analysis of contract values and contract status across customers.

Dashboard Filters

Customer / Contract

Dropdown allowing users to filter by Account Name, Account Number, or Contract Number.

Status

Dropdown allowing users to filter by Contract Status Description.


Column Chart – Invoice Value

Values - Invoice Value

Axis - Account Name & Number & Contract Number

Purpose

Compares invoice values for individual hire contracts.


Bar Chart – Account Invoice Value

Values - Invoice Value

Axis - Account Name

Purpose

Displays the total invoice value for each customer account.


Column Chart – Count of Status

Values - Distinct Count of Contract Number

Axis - Account Name

Legend - Contract Status Description

Purpose

Shows the number of contracts by status for each customer.


Page 3 – Summary – Drill Down

This page provides the same summary information as Page 1 but includes interactive filters for deeper analysis.

Dashboard Filters

Customer / Contract

Dropdown allowing users to filter by Account Name, Account Number, or Contract Number.

Status

Dropdown allowing users to filter by Contract Status Description.


KPI Charts

Displays the same KPI cards as Page 1:

  • Completed

  • Active

  • Off-Hire

  • Cancelled

  • Suspended

  • Terminated

  • Rolling

  • Fixed

  • Net Invoicing

  • Current Invoicing


Data Table

Displays the same contract information as Page 1.


Pie Charts

Displays:

  • Count of Status

  • % Status

These charts dynamically update based on selected filters.


Bar Chart – Value by Customer

Values - Invoice Value

Axis - Account Name

Purpose

Displays invoice values grouped by customer.


Stacked Column Chart – Invoice Value

Values - Invoice Value

Axis - Account Name & Number & Contract

Purpose

Compares invoice values across individual contracts.


Stacked Column Chart – Invoice Value by Status

Values - Invoice Value

Purpose

Values - Distinct Count of Contract Number

This page provides detailed information about equipment assigned to hire contracts together with associated hire charges.

Dashboard Filters

Customer

Filters by account name.

Status

Filters by contract status.

Equipment

Filters by Equipment ID.


KPI Charts

Bottles In

Displays the total Bottle In Gas Value.

Bottles Out

Displays the total Bottle Out Gas Value.

Fuel

Displays the total fuel invoice value.

Transport

Displays the total transport invoice value.

Fixed Price

Displays the total fixed price charges.

Equipment

Displays the distinct count of hired equipment.

Collection

Displays the total collection invoice value.

Miscellaneous

Displays the total miscellaneous invoice value.


Data Table – Charges

Column Definitions

Equipment ID - Displays the equipment identifier.

Bottles In - Displays bottle-in gas charges.

Bottles Out - Displays bottle-out gas charges.

Fuel - Displays fuel-related charges.

Transport - Displays transportation charges.

Collection - Displays collection charges.

Miscellaneous - Displays miscellaneous charges associated with the equipment.

Fixed Price - Displays fixed hire charges.

Total Hire Charges - Displays the total charges accumulated for the hired equipment.


Data Table – Equipment Hire Schedule

Column Definitions

Contract No. - Displays the associated hire contract number.

Equipment ID - Displays the equipment identifier.

Hire Option - Displays the selected hire option.

Added To Contract - Displays the date the equipment was added to the contract.

Expiry - Displays the equipment hire expiry date.

Rate - Displays the agreed hire rate.

Duration - Displays the hire duration.

Values - Distinct Count of Equipment

Shows the number of hired assets across contracts grouped by customer and contract status.

This page highlights hire contracts and equipment records that require attention.

KPI Charts

Hire Equipment With £0.00 Revenue

Displays the distinct count of equipment where:

  • Fixed Price = 0

  • Hire Rate = 0

  • Contract Status = Active

This identifies active hire equipment generating no revenue.

On Site Equipment With No Contract

Displays the distinct count of equipment where:

  • Equipment Status = On Site

  • Contract Number is NULL

This identifies equipment currently on site without an associated hire contract.


Pivot Table – Zero Value Hire Rate and Fixed Price by Contract

Filters

  • Equipment Status is not OOO

  • Equipment Status is not NULL

  • Contract Number contains NULL

Purpose

Identifies equipment records that are on site but do not have an associated hire contract.


Column Chart – Hire Rate = 0

Values - Distinct Count of Equipment

Axis - Account Name & Number & Contract

Filter - Hire Rate = 0

Purpose

Highlights contracts where equipment has no configured hire rate.


Column Chart – Fixed Price = 0

Values - Distinct Count of Equipment

Axis - Account Name & Number & Contract

Filter - Fixed Price = 0

Purpose

Highlights contracts where fixed price charges have not been configured.


Final Remarks

The Hire Contracts dashboard provides a complete overview of hire contract performance, invoicing, equipment utilisation, and contract exceptions. It enables users to monitor contract activity, analyse invoicing trends, review equipment assigned to contracts, and quickly identify missing pricing or contract issues. Using the available filters allows users to investigate individual customers, contracts, equipment, and statuses, making the dashboard a valuable operational and financial monitoring tool for hire contract management.
