Best Practice: Managing Jobs in Job Control

This guide outlines the recommended workflow for issuing service jobs using Job Control.

Job Control is the primary area for reviewing, issuing and managing jobs. Although jobs can also be managed from the Scheduler, Equipment Service Schedule (ESS) and Service Call modules, Job Control provides a central location for day-to-day job management.

A typical job life cycle flows like this:

  • Unissued: New job waiting to be planned.

  • Scheduled: The job isn't issued but is planned to the diary.

  • Issued: The job has been assigned to an engineer (and will show on their mobile app if using).

  • Completed: The job has been completed and is ready for review before invoicing.

  • Submitted: The job has been reviewed and planned for invoicing.

  • Invoiced: The job has been invoiced.

  • Cancelled: The job is cancelled.

Jobs can move back and forth through the workflow as required until they are invoiced. Once invoiced, the job is locked and can no longer move between statuses.


Getting There

  • Head to the Scheduler menu.

  • Open Job Control.

The Job Control screen displays all jobs, with colour coding used to indicate each job's current status.

Use the available filters to review and manage the jobs you want to issue.


Filter The Job List

Use the Filter option to search for jobs using the available filter criteria.

Select options such as:

  • Job details.

  • Engineers

  • Teams

If you regularly use the same search criteria, you can save the filter for future use.

Select a saved filter to quickly display the required jobs.

Use Show All to restore the full job list or hide the filter panel once you've finished filtering.


Issue an Individual Job

To issue a single job:

  • Select the Service Geeni icon.

  • Select the Issue arrow.

  • Select an engineer via the checkbox.

  • Confirm the issue.

Once issued, the job changes to blue, indicating that it has been issued.

You can then use the filters to display only issued jobs if required.


Batch Issue Multiple Jobs

To issue multiple jobs at the same time:

  • Select the required jobs via the check box.

  • Select Batch Issue.

  • Select the engineer.

  • Click Confirm.

The selected jobs are issued together.


Managing Jobs via the Action Tray

The Action Tray serves as a centralised hub for common actions. The available options will vary based on the job's status.

  • For Unissued or Scheduled Jobs: centralised

    • Add a New Task.

    • Issue Job to an engineer.

    • Edit Job details.

    • Print Preview Job Sheet

    • View or Add Work Done Notes.

    • Cancel Job (if no parts or labour exist).

    • Find the Nearest Engineer.

    • Attach Documents

  • For Issued Jobs:

    • Complete Job

    • Unissue Job (Revert to unissued status).

  • For Completed Jobs:

    • Preview Invoice

    • Submit Job: For processing.

    • Uncomplete Job

    • Print Job Sheet

  • For Cancelled Jobs:

    • You can Reactivate a job and make it active by clicking on the double left arrow.

    • You can upload documents with the paperclip icon.

    • The Speech Bubble lets you see any work notes written against the job.

    • Clicking the speech bubble will allow you to add new Work Done Notes.

A feature that allows multiple selected jobs to be issued to an engineer in a single action.

Job Status

Indicates the current stage of a job. Job Control uses colour coding to help identify different job statuses at a glance.
