Learn how to manage jobs from the back office using Job Control.

Let's master Job Management in Service Geeni!

Efficiently managing jobs saves you time and enhances productivity. Job Control is the main area where you can manage your jobs, you can also manage them from the Scheduler, ESS and Service Call modules.

Let's get started.


Getting there

To access Job Control:

  • Click Scheduling.

  • Select Job Control.


Navigate the Job Control Panel

The Job Control Panel appears in the centre of the page and contains the Action Tray functions. You can add or remove columns and export data to Excel or PDF. You can also collapse and expand a section.

The system uses color coding to represent the current status of jobs.

  • Red: Unissued jobs not yet planned or sent to an engineer.

  • Orange: Jobs scheduled in the diary for an engineer but not yet issued to the engineer’s mobile device.

  • Blue: Jobs scheduled and issued to the engineer’s mobile device.

  • Green: Completed jobs. Dark green for chargeable jobs and light green for non-chargeable jobs.

  • Dark grey: Cancelled jobs.

The colour coding in the Job Number column comes from the SLAs and Priorities.

Under the Agreed Dates, a date will go pink if the task or job is overdue.

The page is broken down into three sections:

  • Action tabs

  • Status buttons

  • Job list

Pro Tip: When you search for jobs, you may find multiple results across several pages. If you can't find what you're looking for, be sure to check all pages, as the desired job might be there!

Additionally, once you modify the display settings, your preferences will be saved for future sessions.


Action Tabs

Filter Tab

Narrow your search by filtering by Engineer, Criteria, or Operation. Select jobs with the check box on the left, then apply functions from the tabs at the top.


Batch Issue

Select multiple unissued jobs and issue them in bulk with this handy option.

  • Select the jobs.

  • Click Batch Issue.

  • Choose your engineer, you can select more if necessary.

  • And then Issue jobs in bulk!


Merge Jobs

Merge multiple jobs for the same site into one to streamline your workflow. When you do this, the data from the newest job will be used. This means that the task details of each job will remain the same, but information such as the job level charge code and order reference will be effectively lost and replaced with the newer job's details.

  • Select the Jobs you want to merge.

  • Click Merge Jobs.

You have a chance to undo this merge but after that, you cannot undo it.


Job Enquiry

Job Enquiry is the best way to find a job and its details regardless of the status it is in. For example, if a job has been submitted or invoiced, it would not show in Job Control.

  • Click on Job Enquiry.

  • Enter the job number.

  • Click on the search button or hit enter.

  • Bingo the job will open.

You can review and change the job only depending on the status of the job i.e. if has already been submitted or invoice you cannot edit it as this would affect any additional paperwork generated.

The fields "Raised by:" "Completed by:" "Originating Quote No:" and "Pre-paid" will populate when you load a job so you cannot edit it at this point.


Submit Job

After selecting your jobs:

  • Click on Submit Job.

  • Enter the job number and the job will open.

The fields "Raised by:" "Completed by:" "Pre-paid" "Subcontractor State:" and "Subcontractor PO:" will populate when you load a job. Not actionable at this stage.

  • Click on the ellipses (...)

  • Here you can select a job and also enter search criteria to narrow down the search.

You can now review the job and make any changes, view the Print Job Sheet and Submit for the Invoicing process.


Bulk Cancel

Bulk Cancel does exactly what it says on the tin. Simply select the jobs you no longer want in the system, click Bulk Cancel, and they will be removed.

  • The system will ask for a reason and any notes for cancellation.

  • Click Yes.

You can type the description and if the reason exists. i.e. "cancel" it will populate the field.

  • If you regularly cancel jobs, you'll find it helpful to save Reasons. New reasons can be added when you open the selector via the ellipsis.

  • Click +Add and fill out the details.

When it comes to cancelling a job, if there is a time booked, the system will flag it. This ensures that any engineer logged time doesn't disappear.

A final note, when you go to cancel, you cannot Submit any jobs that are not in the Cancelled state, you will see a pop "non-cancelled state to bulk action".


Batch Submit

Batch Submit is very similar to Bulk Cancel.

Simply select the jobs you want to Submit to the invoicing process:

  • You can select multiple jobs by clicking on the tick box, Keep in mind that you can only Submit jobs that are in the Complete, Non-Chargeable or Cancelled state.

  • With your chosen jobs, click Batch Submit.

  • A confirmation popup will ask you to clarify your decision.

  • From here, any jobs that exceed the set value are highlighted.

  • Double-check the batch selection and click the Submit for Invoicing button.

    • You will now be taken to the Job Invoice screen.

  • The Preview button generates a PDF for the chargeable jobs selected.

An Invoice will not be produced for non-chargeable jobs.


View Submitted Jobs

The View Submitted Jobs option simply shows you a list of all your submitted jobs when you click on it.

  • Here you view closed non-chargeable jobs.

You have some further options via the Action Tray:

  • Click the padlock to Unsubmit a job.

  • Quote Work Don

  • Eye Preview

  • Upload additional documents.

  • Finally, if you want to see more details, just click on the job number.


View Draft Jobs

Jobs that have been Raised As Draft from the Raise New Job screen will appear here.

  • You can also Raise a New Job here.

  • There are some further options available from the Action Tray:

  • Edit

  • Move to standard job list: - i.e. it will no longer be a draft job and will appear in Job Control.

  • Delete


+ Raise New Job

  • The plus icon allows you to directly raise a new job.

    • Not to be mistaken for the expanded search icon below.


Mobile Device

The Mobile Device button opens the Device Management page.

  • Click Connection Status refresh to get a real-time update on the engineer's devices.

  • The Device History icon lets you see the recent history (or activity) of that engineer.

  • You can Edit an engineer's Configuration Profile via the Action tray.


Status buttons

Status buttons are a great way to quickly filter your jobs by their state (or status). The targeted period will show jobs based on your diary selection, like those scheduled for the next day or week.

When selected, there is a faint border around the block, clicking it again will remove that filter.

You can select any combination:

  • An Unissued job is categorised by the colour Red.

  • A Scheduled job is categorised by the colour Orange.

  • An Issued job is categorised by the colour Blue.

  • A Completed (chargeable) job is categorised by the colour Green.

  • Any Complete (Non-Chargeable) jobs are Light Green.

  • A Cancelled job is categorised by the colour Grey.

  • Show All - will turn on all selections, you can then deselect the irrelevant ones.


Action Tray

The Action Tray is your one-stop shop for common-use actions, the options available will differ depending on the job's status.

For an Unissued or Scheduled Job, you can:

  • Add a new Task: This will add a new task to the job.

  • Schedule: Clicking this will take you to the Scheduler where you can allocate time and book an engineer for the Job.

  • Issue a Job: You can issue a Job to an engineer/s using this option.

  • Edit Job: Clicking the pencil icon opens up the job details page where you can add or make changes.

  • Print Preview Job sheet: This option allows you to preview the job sheet by opening a PDF in a new tab.

  • Work Done notes: Any notes so far held against this job are viewable here.

  • Cancel Job: You can simply cancel the current job with this option. If the Job has Parts or Labour on it, you won't be able to cancel.

  • Nearest Engineer to the job: This is a very useful feature for prioritising and organising your engineers to jobs.

  • Attach Documents: You can attach documents to the job, this could be field notes or certificates.

For an Issued Job you can:

  • Complete Job: Completing a Job will confirm that the job and all tasks are completed.

  • Unissue Job: In some cases, you may need to remove a job from your schedule. This option will remove it from the scheduler and revert to an unissued status.

For a Completed Job you can:

  • Preview: This will open an invoice for the job in a new tab.

  • Submit Job: Clicking this will send for quotation processing.

  • Un Complete Job: This will revert the job to an incomplete job status.

  • Print Job Sheet: When you click this, a PDF job sheet will open in a new tab.

For any Cancelled jobs, you can:

  • Re-Activate Job: When you reactivate a job, it will return to its unissued state in the Job Panel.


Filtering Jobs in Job Control

You can search for a job in Job Control by using any of the filter options:

  • Select Engineer

  • Search Criteria

  • Key Word Filter

  • Status buttons


Select Engineer

Select Engineer, lets you search for any jobs that a specific engineer is working on.

  • Using the ellipse(...) you can open the Engineer list.

  • Here you can Search by:

    • Engineer Number

    • Engineer Name

    • Teams

    • Subcontractor

    • Skill Set

    • Geographical Area covered

  • Once you've selected a criteria, enter a keyword to search for.


Search Criteria

The options you can choose from in the Search Criteria list depend on what column views are enabled. If a particular search criteria is missing, you can change the views via Column Options.

  • To do this, click on the down arrow just above the Action Tray symbol.

  • Here you can select and deselect options by clicking on them.

Once you have selected the search criteria, you can fill in the next fields.

  • Choose how it searches for the information based on:

    • Contains

    • Starts with

    • Ends with

    • Not Equals

    • Does Not Contain

  • You can then enter a Keyword.

  • Finally, click on the eye icon to search.

  • Expanding the search is also possible with the + (Plus) icon.

  • This will add another search criteria line.

  • Here you can choose from AND or OR if you have multiple search criteria lines.


Filters

If you regularly use these parameters, you can save them as a Filter for your account or a Company filter, making it quicker to search next time.

  • Global Filter: If you choose Company Filter, other Service Geeni users within your company will see these.

To save a Filter

  • Click on the Save icon.

Here you can choose from:

  • Save for All Users

    • This will make the filter accessible for all users i.e. a Global Filter.

  • Save Sorting

    • This will save any sorting already applied.

  • Once saved, you can quickly apply this filter again and again.


How to Issue a Job

  • Firstly, select the job, then click on the issue arrow via the Action Tray.

This will take you to the Issue Job window, from here:

  • Select an engineer by clicking on the ellipses.

  • Alternatively, you can enter the engineer's number.

  • Next, move the Engineer to the list by clicking Add.

  • Finally, click Issue Job.


Job Details

Now let's look at the details of the Job on the Job Details page.
