The Customer & Prospects Contacts report gives you a complete list of all customer and prospect accounts, along with their key contact details.

It gives you quick access to the information you need to manage relationships, support marketing activity, and coordinate service communication, all in one place.

You can use this report to:

• View and export up-to-date customer and prospect contact details.


• Check account and contact information before outreach or billing.


• Identify active and inactive accounts for follow-up.


• Improve visibility across branches for sales, finance, and service teams.

Whether you’re prospecting, preparing billing communications, or verifying contact details before a job, this report keeps everything centralised and easy to access.


Getting There

To access the Customer & Prospects Contacts report:

  • Open the Business Intelligence module.

  • Click Reports.

  • Navigate to the Records category.

  • Select Customer & Prospects Contacts.

  • Apply your filters, then click Apply to generate the report.


Available Filters and Their Impact

Use the filter at the top of the report to focus on the data that matters to you.

  • Branch: Filters the report by the depot or branch managing the account. This is useful when reviewing regional performance or limiting visibility to a specific branch.

Leave the Branch filter blank to display customers and prospects across all branches.


Column Breakdown and Key Fields

Each row in the report represents a customer or prospect account with associated contact details.

Column Name

Description

Account Number

Unique identifier for the customer or prospect account.

Account Name

Name of the customer or prospect company.

Address

Combined address lines 1 and 2 for the customer or prospect.

City

The city or locality associated with the account’s address.

County

The county or region for the account’s location.

Postcode

Postal or ZIP code for correspondence.

Accounts Contact

Primary contact person for account or billing inquiries.

Accounts Email

Email address of the account's contact.

Tel. No.

Main telephone number for the account or site.

Title

Formal title of the contact (e.g., Mr., Ms., Dr.).

First Name

Contact’s given name.

Surname

Contact’s family or last name.

Nickname

Alternate or preferred name of the contact (if applicable).

Job Title

The contact’s position or job role within the organisation.

Email Address

Primary email address of the contact.

Main Contact Number

Direct phone number for the contact person.

Type

Classification of the contact record (e.g., Customer, Prospect).

Receive Order Acknowledgement

Indicates whether the contact is set to receive order confirmation emails.

Salutation

How the contact should be addressed in communications (e.g., Dear Mr. Smith).

Account Active / Inactive

Displays whether the account is currently active or inactive.

EORI

Economic Operator Registration and Identification number, where applicable (used for import/export compliance).


The Customer & Prospects Contacts report helps you keep customer information accurate, visible, and ready to use.
