The Email Register

Learn how to view your Branch or Customer communications logs

The email register allows you to review all communications with a customer. This can be done for the whole account or at a Customer level.

The email register can be found throughout the system. You can review them for a whole branch or an individual customer.


Getting There

Head to Records and select Customer & Site Records.

  • You'll notice the Email Register button on the screen.

  • Click the button to review all the communications for that branch.


Customer Email Register

  • To view a customer's email register, go back to the Customer & Site Records screen.

  • Click on the Account name.

In the Account Details page:

  • Click the Communication Centre tab and choose Email Register.

Once you're in the register, you can:

  • Filter

  • View events (history).

  • Export


Filtering Email Registers

Filtering can help you quickly find and review specific records. For example, you may want to filter by Status Contains “Blocked” or “Bounced” across all customers. This allows you to isolate problematic addresses for further review.

You can also adjust the columns displayed.

  • Click on the down arrow to add or remove any columns.


Exporting to Excel

Because the Email Register can contain a large amount of data, exporting to Excel is often the quickest way to work with it. Once exported, you can:

  • Remove duplicate email addresses.

  • Filter for specific statuses.

  • Build a clean list of addresses that require action or review.


Email Events

  • Click on the Action Tray to view your Email Events. This lets you view an email's history.

Here you will see the Status, Date and Reason for the email event.

  • Status:

    • Blocked: the email was stopped before being sent (for example, due to policy or configuration).

    • Bounced: the email was rejected by the recipient’s server.

    • Deferred: the recipient’s server temporarily delayed delivery.

    • Processed: the email has been accepted by the sending system and is in progress.

    • Delivered: the email was successfully delivered to the recipient’s server.

    • Opened: the recipient opened the email.

    • Clicked: the recipient clicked on a link inside the email.

    • Unsubscribed: the recipient unsubscribed from further emails.

    • Spam Report: The recipient marked the email as spam.

  • Date: This is the date stamp of the event.

  • Reason: Here you can see the reason for the email event.
