Let's get started!

The Customer Web Portal is your online window into the service you receive. It gives you secure, 24/7 access to your records, so you can check what you need without calling or waiting for an email.

From one place, you can:

  • See your equipment, contracts, invoices, jobs, and quotes.

  • Check key figures at a glance on your dashboard.

  • Raise a job for any piece of equipment in a few clicks.

  • Update clock hours on your equipment.

  • Print, download, or email reports and documents.

  • Request a quote or ask for changes to your account details.

  • Send messages directly to your service provider.

Logging In to the Customer Web Portal

Once your account is set up, you'll receive a confirmation email. The email includes a link to the portal.

Navigating the Customer Web Portal

The Customer Web Portal lets you view the Equipment, Contracts, Invoices, Jobs, and Quotes you have access to. Depending on your access rights, you can also raise jobs, update clock hours, and send messages.

The Left-Hand Menu

The portal's modules sit in the menu on the left of the screen.

  • Click a module to open it.

  • Expand or collapse the menu to free up screen space. The portal remembers your choice next time you log in.

When the menu is collapsed, hover over an icon to see the module name.

  • The module you're in is highlighted, so you always know where you are.

  • You can also raise a job from here.

When you raise a job, you can add your own Order Reference. This makes it easier to track the job against your own orders.

The Dashboard

The dashboard gives you a snapshot of your key figures (KPIs).

The Web Portal dashboard displays key performance indicators (KPIs), providing an overview of relevant business activity.

  • Customise KPI: Where available, you can adjust the date range to review information for a specific period.

By default, it shows data for the current month.

  • Hover over a KPI to show its settings icon. Use it to change the KPI's search result settings, such as its time period or filtered results, then click Apply.

  • Click a KPI to open a pop-up with the detailed data.

User Account

In the top right corner, you'll find the User Account menu.

Here you can view:

  • User Information

  • Customer Information

  • Company Information

Working With Reports

Each module shows its data as a report. This report is based on the default or custom filter settings.

  • Use the toolbar at the top of the report to move between pages, zoom in, print, and email the report.

  • To find something specific, use the Search.

  • You can also digitise the report as an email or downloadable file.

  • Use the filter option to narrow down your searches.

  • Set the parameters and click Apply.

  • Click Clear Filters to remove them.

Modules

The left-hand menu has five modules:

  • Dashboard

  • Equipment

  • Contracts

  • Invoices

  • Jobs

  • Quotes

We've already covered the Dashboard. Every other module shows a report of its data, with a few actions you can take.

Equipment

The Equipment module lists your equipment and the details for each item. It's the only module where you can update clock hours. Each row has three icons on the right:

  • Document icon: opens the equipment details in a new browser window.

  • Spanner icon: Raises a job for that item in a new browser window.

Tip: If your equipment has a QR code, scan it to open the portal and raise a job for that item.

Depending on your service provider's settings, you may not need to log in. Learn about: Logging a job without Service Geeni Credentials

  • Clock icon: Updates the item's clock hours in a new browser window. The hours are shown when you go to update it.

This is also accessible from the module menu.

Contracts

Here you can view and print your Hire or Service contract details.

  • Click the document icon to preview the Contract.

Accounts

The Accounts module is home to your invoices for:

  • Service Contracts

  • Hire Contracts

  • Jobs

  • Equipment Deals

  • Sales Orders

  • Miscellaneous Invoices

  • Click the document icon to open an invoice in a new window.

Tip: The invoice reports no longer have an Invoice Type filter, so filtering takes one less step. On the Hire Contract Invoices report, use the Hire/Rental Contract filter to choose a contract.

Jobs

Here, you can view your current and historical jobs, and raise a new job. Depending on your access rights, you can also view job documents such as Job Sheets and Forms.

Quotes

  • You can view your current and historical quotes.

  • Click the document icon on the right of a row to open the quote.

You can print or download quotes. You can also download any documents that have been uploaded to your records.

  • You can also create a new quote.

That's it! You've completed the Customer Web Portal tutorial.
