Enhancements (10)
Support for dual priorities: Response and Completion times
Service Geeni now supports dual SLAs, giving managers full visibility of both a response time and a completion time for every job. Priority and SLA Profile settings are also now grouped together in the interface, making the relationship between them clear.
This enhancement covers four areas:
1. Priority and SLA Profile setup: The SLA Profile selector now sits directly alongside Priority in the interface. Each Priority can now have both a Response Time and a Completion Time, and the Priority pop-up has a cleaner layout and default search.
2. SLA Profile configuration: Each priority within an SLA Profile can now be given its own Response Time and Completion Time, which override the values set on the Priority itself. Newly added priorities now appear correctly when editing an existing SLA Profile.
3. Validation: If both a Response Time and a Completion Time are entered, the Resolution Time must be equal to or greater than the Completion Time, and values in an unsupported format are flagged immediately, helping prevent incorrect SLA setups.
4. Job creation: When a job is raised, Service Geeni automatically calculates and displays both a Target Response Date and Time and a Target Completion Date and Time, based on the customer's SLA Profile (where one applies), the selected priority, and when the call was logged. Both fields are read-only on the job, keeping SLA commitments consistent once set.
Together, these changes give field service managers and coordinators clear visibility of both response and completion targets for every job, and make priorities and SLA profiles much easier to set up and maintain.
Equipment Deals now support multiple, synced warranties
The Equipment Deal warranty screen now works the same way as the Equipment Record warranty screen, letting you add, view and edit multiple warranties directly on a deal rather than just one. Warranties are shared between the two screens, so adding or editing a warranty on the deal updates the linked equipment record automatically, and the same applies in reverse – a change made on the equipment record is reflected straight back on the deal.
Automated equipment status and category updates on deal completion.
Service Geeni can now automatically update an equipment record's status and/or category when a related deal is completed, and the way equipment availability is set up has changed. Here's exactly what's new and what happens to your existing statuses and categories.
1. Setting up automatic updates on a deal type
Each deal type can now be configured with a target equipment status and/or a target equipment category, which are applied automatically whenever a deal of that type is completed.
Open the deal type you want to configure.
In the new Equipment Outcome section, choose an Equipment Status and/or Equipment Category to apply when a deal of this type completes. Both fields are optional and only active statuses/categories are offered.
Save the deal type. If you leave both fields blank, that deal type keeps working exactly as it does today, with no automatic equipment changes.
2. What happens when a deal completes
Service Geeni checks whether the deal's type has a status and/or category configured.
If it does, every piece of equipment linked to that deal is updated to the configured status and/or category.
Only the fields you've configured are changed – for example, if only a status is set on the deal type, the category is left untouched, and vice versa.
If a deal type has nothing configured, or a completed deal has no equipment linked to it, nothing happens and no error is shown.
Every automatic change is recorded against the equipment record, so you can see when and why a status or category changed.
3. Equipment Category: new availability options
Equipment Category setup now includes an Availability option with three choices: Available For Sale, Available For Hire, and Customer Owned. You can select one or more of these when creating or editing a category. Availability is now managed entirely through Equipment Category rather than Equipment Status.
4. Equipment Status: what's been removed
The Available For Sale, Available For Hire and Customer Owned options, along with the ‘set this status when equipment is sold’ option, have been removed from Equipment Status setup, since availability is now controlled through Equipment Category instead.
5. What happens to your existing statuses and categories
A one-time migration runs automatically as part of this release, so no manual work is needed. For every piece of equipment, Service Geeni takes its current category and combines it with whatever availability flags were set on its status, then places it in the matching category – creating that category if it doesn't already exist. Only combinations actually needed by your equipment are created; unused combinations are never added.
Existing category | Existing availability (from status) | Category after migration |
Category 1 | None | Category 1 |
Category 2 | Available For Hire | Category 2 (Available For Hire) |
Category 3 | Available For Sale | Category 3 (Available For Sale) |
Category 4 | Customer Owned | Category 4 (Customer Owned) |
Category 5 | Available For Hire + Available For Sale | Category 5 (Available For Hire, Available For Sale) |
Category 6 | Available For Hire + Customer Owned | Category 6 (Available For Hire, Customer Owned) |
No category | Available For Hire | Unknown (Available For Hire) |
A few important points on how the migration behaves:
If equipment has no category but does have availability flags on its status, it's placed in a new ‘Unknown’ category carrying those same availability flags.
If equipment has neither a category nor any availability flags, nothing changes for it – no new category is created.
Some combinations aren't valid and will never be created – for example, ‘Available For Sale + Customer Owned’ or ‘Available For Hire + Available For Sale + Customer Owned’.
This migration runs once, automatically, as part of the release – there's nothing you need to do to trigger it, and no historical data is lost.
After the release, everywhere in Service Geeni that previously checked Equipment Status to determine availability will check Equipment Category instead, and your existing equipment will already be set up correctly under the new structure. To know more, click here.
Configurable access control for equipment cost price.
Equipment Cost Price access is now controlled through a dedicated user permission that is available only when Equipment Journal Posting is enabled. Administrators can grant separate view and edit permissions, allowing greater control over who can access and modify equipment cost prices.
When users have edit permission, cost price changes can be saved. Users with view-only permission can see the field but cannot modify it. When the feature is disabled, the Equipment Cost Price permission is hidden from User Group Access and the Cost Price field is removed from Equipment Records. Cost price changes are also recorded in the audit history to provide a complete audit trail.
Quote Number Added to E-Signature Email Subject
E-signature request emails have been enhanced to include the quote number in the email subject. This allows recipients to quickly identify the relevant quotation without opening each email, making it easier to manage and respond to multiple e-signature requests.
Enhanced E-Signature Emails with Quote Equipment Details
E-signature request emails have been enhanced to include key quote information within the email body. In addition to the quote number, customers can now view the list of equipment included in the quotation, making it easier to identify and review the correct quote before opening or signing the attached document.
Fixed several UI alignment issues across popups and grids
Several UI elements were misaligned or inconsistent, including truncated filter text in Access Times, a misplaced equipment selection checkbox in hire contracts, and misaligned ellipsis buttons in various popups. These alignment issues have now been corrected.
Popup headers made consistent across the application
Many popups for validation, confirmation and naming showed the wrong header, or none at all, for example 'Error' instead of 'Alert', 'Done' instead of 'Success', or no title at all. Popup headers across the application now display consistently and accurately.
Extended warranty value now included when scheduling equipment invoices
When an equipment deal included an extended warranty, its value wasn't added to the invoice, leaving an outstanding balance that stopped the deal from being completed. Extended warranty values are now included correctly so deals can be completed.
Fixes (30)
Hire Contract Quote Reports Did Not Display Custom Dropdown Values and Power Field
Fixed issues in Hire Contract Quote (HCQ) reports where Equipment custom dropdown fields displayed the stored value instead of the selected display text, and the Equipment Power field was missing from the ContractEquipments report dataset. The report now correctly displays the selected custom dropdown text, and the Power field is available in the report dictionary for inclusion in Hire Contract Quote templates and reports.
Hire Service Purchase Order Costs Now Reflected in Contract Revenue & Cost
An issue has been resolved where costs generated from Hire Service Purchase Orders were not appearing in the Revenue & Cost section of the associated hire contract after goods receipt. The contract now correctly reflects hire service purchase order costs, providing accurate financial visibility.
Duplicate equipment record creation fixed
Occasionally, creating a new equipment record could result in two records being saved with the same ID, causing confusion later when adding the equipment to a contract. This has been fixed so each new equipment record is now guaranteed a unique ID.
System Error When Selecting Equipment Model in Root Cause
Fixed an issue where selecting an Equipment Model from the Root Cause popup resulted in a system error, particularly when "All Branches" was selected. Equipment Models can now be selected successfully without any exception.
Improved Filtering of Zero-Value Jobs in View Submitted Jobs
An issue has been resolved where zero-value jobs could incorrectly appear in the View Submitted Jobs list even when zero-value invoicing was disabled. The filtering logic has been updated so only jobs eligible for invoicing are displayed, preventing non-invoiceable jobs from remaining in the submission queue.
Resolved Jobs with Selected Engineers Not Appearing Automatically in the Scheduler
Fixed an issue where jobs raised with an engineer already selected could fail to autoschedule and were not displayed in the Scheduler/Diary. The dependency on AutoScheduleJobsRaisedSetting has been removed, and both issued and unissued jobs with selected engineers now appear automatically in the Diary and mobile app.
Fixed deals tab showing quotations after a deal is deleted
Deleting a deal in Equipment Deal Records temporarily showed quotation records in the Deals tab until the page was refreshed. The Deals tab now updates correctly straight away.
Purchase order totals now exclude removed line items
An issue has been resolved where removing a line item, such as a freight or delivery charge, from a purchase order did not update the overall order total. The total kept including the cost of the removed line, so it no longer matched the sum of the remaining items. This has now been fixed. Purchase order totals will now always reflect only the active line items, so removed charges no longer inflate the total shown.
Prevented Duplicate Task Display in Scheduler
An issue has been resolved where the same task could appear twice for an engineer in the Scheduler due to archived engineer assignment records being included alongside active records. The Scheduler now displays only active engineer assignments, ensuring each task is shown once.
Resolved Incorrect "Pending to Book" Status for Kit Parts on Sales Orders
An issue has been where kit components on sales orders created from quotations could incorrectly remain in a "Pending to Book" status after stock had been processed. The sales order conversion and stock reservation logic now correctly links kit sub-items, allowing the PPD and invoicing workflows to complete successfully.
Journal posting completed for stock exchange accepted returns.
The financial posting created when a Part Return request is accepted as a Stock Exchange has been enhanced to populate all required accounting information. Previously, the journal entry was created successfully, but several nominal codes, cost centres, and department codes were not populated, resulting in incomplete financial records.
This has now been corrected. Journal entries generated for Stock Exchange Accepted transactions now populate the appropriate debit and credit nominal codes, cost centres, and department codes from the configured Stock PA Codes, while retaining the existing posting behaviour for transaction details, reference information, posting type, and calculated values. This ensures complete and accurate financial postings for stock exchange returns.
Stock take now shows default bin locations for zero-quantity items
Stock items set up across all branches weren't showing their depot's default bin location on a stock take when their quantity was zero. Stock takes now pull through the correct bin location for these items.
Daily Service Due Reminder now includes overdue services
The Daily Service Due Reminder previously only showed services due today or tomorrow, so an older overdue service could be missed. Coordinators now see overdue services alongside upcoming ones until they've been accepted.
Fixed date picker disappearing in access times filters
Deleting a filter on the Start Date or End Date in Access Times made the date picker disappear, and refreshing the page to bring it back lost any unsaved changes. The date picker now stays available after a filter is removed.
Correct Kit Stock Availability Display in Book Service Stock
An issue has been resolved where kit service items could incorrectly appear as requiring a purchase order despite being available in stock. The Book Service Stock screen now displays the correct on-hand and on-order values for parent kit items, ensuring stock availability is accurately represented.
Fixed pagination display when no root cause records are found
The Select Parent Root Cause Description screen showed "1 of 0" in the pagination even when no matching records existed, which was misleading. It now shows the correct pagination state when there are no records to display.
Resolved Error in Customer Records Address (Site) Search Filter
An issue has been fixed where searching using the Address (Site) filter in Customer & Site Records generated an "Invalid column name 'CountryName'" SQL error. The search logic has been corrected, and the filter now returns the expected customer records.
Resolved UI Issue Causing Duplicate Edit and Print Buttons on View Contract Screen
An issue has been fixed where the View Contract screen displayed duplicate Edit and Print buttons in the action bar. The screen now correctly displays a single Edit button and a single Print button, ensuring the expected UI behavior.
Improved PPD Processing for Mixed Sales Orders
An issue has been resolved where sales orders containing a mix of stocked items and items requiring purchase orders or part requests were not processed correctly for picking. Stock items with available on-hand quantity are now sent to the PPD picking process independently, even when other lines on the same sales order require procurement.
Purchase invoice line total rounding during nominal posting
Purchase invoice line totals entered with more than two decimal places are now rounded and displayed correctly in the Invoice UI and Purchase Nominal Update UI. The purchase nominal posting is completed successfully without errors.
Duplicate Custom Fields Removed from Forms Read From / Write To Selection
Resolved an issue where duplicate custom fields were displayed when selecting Read From or Write To fields for list-type Forms custom fields. The custom field selection popup now displays each available field only once, making configuration simpler and more accurate.
SKU History column can now be widened to show the full part number
A previous update let users resize the SKU History column, but the full part number still wasn't fully visible. The column can now be widened enough to show the complete SKU.
Resolved Blank Hire Contract Document After Contract Termination
Ann issue has been fixed where Hire Contract documents printed after completing the final Collection Job and moving the contract to Terminated status displayed blank or missing site and contract information. Terminated contracts now retain the required data, and the Hire Contract document prints all details correctly.
Submit job permission now enforced consistently in Job Details
Users without permission to submit jobs could still see and use submit options when viewing Job Details, even though these were correctly hidden in the Job Control list. Submit actions are now hidden and blocked consistently everywhere a job can be viewed, matching each user's permissions.
User Permission Enforcement for Communication Center Documents
Updated the Communication Center to ensure that document actions (New Document, Edit, Delete, and Preview) are displayed based on the user's assigned access permissions. Users must have the appropriate Customer Document or Site Document permissions in addition to Communication Centre access to perform document-related actions, ensuring consistent and secure permission-based access control.
Resolved Column Sorting Issue in Equipment History – Job History
Fixed an issue where column sorting was not functioning in the Equipment History → Job History popup. Users can now sort records correctly by clicking the supported column headers in ascending and descending order.
Fixed scheduler error preventing engineer diaries from displaying
Some users were unable to see engineers' diaries in the scheduler and received an error when trying to reset their view. This has been resolved so engineer diaries load and display reliably.
Added a missing header to the merge job confirmation popup
The confirmation popup shown when merging jobs in Job Control previously had no header. It now displays a clear title so its purpose is obvious.
Contract status now updates to Active correctly
When a contract's start date was changed from a future date to the current date, the contract status remained "Scheduled" instead of updating to "Active". This has been fixed so the status now updates correctly.
Validation popups now show "Alert!" consistently
Some validation popups showed the header "Alert" without an exclamation mark. These now consistently display "Alert!" across the application.
