Contract Renew / Review

The Contract Renew / Review module gives you a snapshot view of any contracts you have in the system. As it says, you can also renew a contract coming to an end.

Enable the following User Rights to get the most out of the module:

  • Module Access: Contract Renew / Review

  • The Contract Global Uplift access right in Service Geeni allows users to apply global price adjustments to existing service contracts.

  • The Contracts access right in Service Geeni allows users to create and manage service and hire contracts linked to customer accounts.

    • Can Approve Equipment Requests From Other Branches

    • Can Create Long-Term Hire Contracts

    • Can Create Service Contracts

    • Can Create Short Term Hire Contracts

    • Show Contract Revenue And Cost


Getting There

To get there:

  • Head to the Records Menu.

  • Click Contract Renew / Review.


Finding Contracts for Renewal

The Contract Renew / Review screen provides a list of contracts that are due for renewal.

  • Use the keyword search or filters to narrow the list and locate the contract you want to work with.


Renew/Review

From the Contract Renew / Review list, use the Action Tray against a contract to select the appropriate action.

  • Requote Contract: This option takes you to the Quotations module, where you can edit and raise a new quote for the contract.


Review Contract

  • Select Review Contract to open the existing contract and review its details.

A review provides an opportunity to check the existing agreement and make any required changes, including changes to pricing or contract terms, before the contract is renewed and sent back to the customer.

Once you have completed the review, you can select:

  • Reviewed Not Signed Off where the review has taken place but has not yet been signed off.

  • Reviewed when the review has been completed.

  • Terminate where the contract will not continue.

  • Cancel to leave the review without completing an action.

Contract Uplifts

Contract uplifts are configured as part of the contract itself, rather than within the Contract Renew / Review module.

An uplift can be established when the contract is created, including uplifts that take effect at specified points during the contract or at the end of the contract.

Depending on the contract setup, the uplift can be applied automatically or handled manually at the renewal point. The renewal review allows you to check the contract and make any required changes to pricing or terms before continuing.

If the required uplifts have already been configured and no further changes are required, the renewal can be handled automatically without requiring the contract to be manually reviewed.


Renew a Contract

  • Select the Renew Contract icon from the Action Tray.

  • The contract opens so you can check the existing details and make any required changes before renewal.

When you are ready to continue:

  • Select Renew Contract.

  • The Contract Preview opens.

  • Review the contract details.

  • Select Confirm to complete the renewal.

The contract has now been renewed.


What Happens at Renewal?

When a contract reaches its configured renewal point, Service Geeni generates a new version of the contract for review.

The updated contract can then be sent to the customer. Where configured, the new contract can be automatically emailed to the customer.

You do not need to separately generate the renewal document through the Communications Centre as part of this process. The new version is generated by the system at the renewal point.


Renewing, Reviewing or Terminating?

The action you take depends on what needs to happen to the existing agreement:

  • Renew when the contract is continuing and is ready to move into its next period.

  • Review when the contract needs to be checked or updated before continuing, for example where pricing or terms need to change.

  • Requote when a new quotation needs to be raised for the contract.

  • Terminate when the contract will not continue.


FAQs

Can I renew contracts in bulk?

No. Contract Renew / Review does not provide a bulk renewal function.

Several contracts may become due for renewal at the same time, but this does not change the renewal process for the individual contracts.

Do suspended contracts work differently when renewing?

Contract suspension is a Hire Contract feature. Suspending a Hire Contract does not change the Renew / Review functionality itself.

Do I have to review every contract before it renews?

Not necessarily. Where the required uplifts have already been configured, and the contract does not require changes, the renewal can be handled automatically without a manual review.

Where are renewal and review periods configured?

Renewal points can be configured by Contract Type. Review periods are entered against the individual contract when it is created.
