Parts Transfer

Learn how to request and receive stock parts from another engineer's van on the mobile app

Let's get to grips with Parts Transfer!

The Parts Transfer feature in the Service Geeni mobile app lets engineers request stock parts directly from another engineer's van and receive them into their own stock. This means a job can be completed without waiting for a warehouse top-up, while every stock movement stays fully auditable — parts are held as goods in transit and cannot be used by either engineer until the receiving engineer confirms they have them.


Getting There

  • Open Parts Transfer from the main menu of the mobile app.

  • You can also open it from Book Parts inside a job — start it here and the parts are linked straight to that job.


Requesting Parts

Search for a part

  • Open Parts Transfer and use the search bar to find the part you need.

  • You can search by serial number, stock part number or description.

Choose an engineer

  • The results show a card for each engineer who has the part available.

  • Each card shows the engineer's name, branch, phone number, part name, serial number (if any), quantity available and their distance from you.

  • Use the distance filter at the top to narrow the list, or turn on My branch only to see just engineers from your own branch.

Send the request

  • Set the quantity you need — this is capped at the amount the other engineer has available.

  • Tap Request. A request card now appears in the Parts Transfer section for both engineers, and your Confirm parts received button stays disabled until the other engineer confirms the transfer.


Accepting a Request

This part is done by the engineer who has the stock.

  • The engineer receives a pop-up with Accept or Reject, plus an entry in the notification bar. Their Parts Transfer section also shows the full request with Accept and Reject buttons.

  • On tapping Accept, they choose which bin(s) to give the parts from. Only bins holding that part can be selected, and where there is just one bin the quantity is filled in automatically.

  • They tap Confirm parts transfer. The stock now leaves their van and is held as goods in transit — unusable by either engineer.


Receiving the Parts

  • Once the other engineer has confirmed dispatch, tap Confirm parts received.

  • Select which bin(s) on your own van to put the parts into.

  • The parts move into your stock and become available to use — linked to the job if you started from Book Parts. A banner shows the transfer reference and clears on its own.

Good to know: serial numbers follow the part throughout the transfer; if a request is rejected, expires or is cancelled, both engineers are notified and it closes; if two engineers request the same stock, the first to be accepted wins; actions taken offline are queued and synced when you reconnect; and where location isn't available, distance is simply hidden.
