Enhancements (8):
Mobile Update
A New version of the Mobile App has been released, release notes for this can be found here: Mobile Release Notes
Manual Delivery Address on Purchase Orders
Users can now type a free-text delivery address directly on a purchase order, rather than being limited to sites already set up in the system. This gives greater flexibility when ordering to one-off locations, project sites, or new addresses that haven’t yet been configured in ServiceGeeni, removing the need to create a site record just to process a single order.
Job Number and Sales Order Reference on Purchase Order Documents
Purchase order documents now include the associated job number and sales order reference as printed fields. This makes it much easier to cross-reference purchase orders against the jobs they support — particularly useful when reconciling orders with accounts or sharing paperwork with suppliers and engineers.
Contract Status Indicator in Service Call
Service call screens now display a visual indicator showing the status of any linked contract — whether it is active, expired, or pending. Service operators and coordinators can see at a glance whether a contract is in place without leaving the service call screen, helping them make faster, more informed decisions about entitlement and response obligations.
Job Status Column Added to Job Enquiry Screens
Job Status is now displayed as a dedicated column on the Job Enquiry screen. Users can filter and sort by status across multiple jobs without needing to open each record individually, making it quicker to get an overview of workload and identify which jobs need attention.
Sage 50 Payment Term Sync Issue
In certain scenarios, payment terms were not syncing correctly between ServiceGeeni and Sage 50, causing mismatches on supplier accounts that could result in incorrect payment scheduling. This has been resolved so that payment terms remain consistent between both systems following any updates.
Cost Recognition on Equipment Deal Completion
ServiceGeeni now manages the full cost recognition lifecycle for Equipment Deals. When equipment is added to a deal, its cost automatically moves from the Control Account into Work in Progress (WIP), keeping it correctly on the balance sheet while the deal is active. When the deal is marked as complete, the cost moves from WIP into Cost of Sales, recognising it on the P&L at the right commercial point. This eliminates the need for manual journal entries and ensures that Equipment Deal profitability is accurately reflected in the general ledger throughout the entire deal lifecycle.
Equipment Details Added to Service Reminder Emails
Service reminder emails now include the equipment make, model, and serial number alongside the reminder details. Customers can immediately identify which asset the reminder relates to, reducing the need for back-and-forth communication — particularly valuable for customers with multiple assets under service agreements.
'Raise New Job' Option When Existing Job Is Open
When a user navigates to equipment that already has an open job, ServiceGeeni now prompts them to choose between raising a new job or continuing with the existing one. This prevents duplicate jobs from being accidentally created and gives users a clear decision point rather than silently creating a second job against the same equipment.
Fixes (20):
Task List Not Showing When Moving Parts Between Tasks
When attempting to move a part from one task to another on a job, the task list was not displayed when the popup first opened. Users had to click 'Show All' before the available tasks would appear, which was an unnecessary extra step. This has been resolved so the task list is visible immediately.
Xero Invoices Showing as Failed Despite Posting Successfully
Some invoices were appearing in red as failed in the Sales Nominal Update screen even though they had successfully posted to Xero. This appeared to be related to how the system handled Xero's period lock date setting. This is currently being investigated to ensure the status displayed in ServiceGeeni accurately reflects the posting status in Xero.
Miscellaneous Parts Not Hiding After Deactivation
When a miscellaneous part was marked as deactivated, it continued to appear in the active parts list rather than being hidden. A 'Show Deactivated Miscellaneous Items' toggle has been added so users can choose whether to display deactivated items, bringing the behaviour in line with the rest of the system.
Bulk Adding Service Sequences Only Saves the Last Sequence
When using the Generate Service Sequence tool to add multiple service sequences to several pieces of equipment at once, only the final sequence was being saved for all equipment except the first item in the list. Earlier sequences were being lost, resulting in incomplete service schedules. This has been resolved so all sequences are correctly applied to all selected equipment.
Default Services Not Pulling Through When Adding Equipment to a Contract
When adding certain equipment to a service contract, the system was only suggesting one service even though the equipment type was configured with multiple services. This meant users had to manually add the missing services to the contract. This has been resolved so all services configured against an equipment type are correctly pulled through when that equipment is added to a contract.
Column Sorting Not Working in Purchase Nominal Update
Clicking on column headers to sort the list in the Purchase Nominal Update screen and the View History for Purchase Nominal Transactions screen had no effect — the data did not reorder. This has been fixed and columns can now be sorted as expected on both screens.
SKU Selling Price Not Saving for Items in Many Kits
For certain stock items that were used in a large number of kit assemblies, attempting to save a change to the selling price caused the system to hang indefinitely without completing the save. This was preventing pricing updates from being applied for those items. This has been resolved so selling prices can be updated for all stock items regardless of how many kits they belong to.
Misleading Message When Raising a Job from a Job Quotation
When raising a job from a quotation where an existing job was already open for the same equipment, the message displayed to users and the button label suggested the existing job would be completed — when in fact it would not be. This was causing confusion for users who needed to raise a new job without closing the current one. The message and button label have been updated to accurately reflect what will happen.
Penny Rounding Difference in Purchase Invoices
Some purchase invoices were showing a small difference — typically a single penny — between the invoice header total and the sum of the individual transaction lines. This was persisting even after users attempted manual adjustments and was causing discrepancies when posting to accounts packages. This rounding issue has been resolved.
Purchase Order Value Difference Not Reflected in Journals
When a Purchase Order was goods-received at one value and then invoiced by the supplier at a higher amount, the difference between the two values was not being recorded in the accounting journals. This meant the variance was not reflected in financial reporting. This has been investigated and the handling of value differences between goods receipts and invoices is being improved.
Job Not Issuing to Engineer from Job Control
In some cases, issuing a job to an engineer from the Job Control screen appeared to succeed but the job remained in an unissued state. This was particularly affecting jobs that had previously been completed and then set back to uncompleted. Engineers were not receiving the job on their schedule as expected. This has been resolved so jobs issue correctly regardless of their previous status.
Equipment Search Returning Error with Certain Filters
When searching for equipment records with specific filter combinations, the system was returning an error message instead of results. This has been resolved and the equipment search now works correctly with all filter options applied.
Service Type Data Missing from SSR Jobs Due Report
Certain service types were not appearing in the Jobs Due and Overdue breakdown table within the Self Service Reporting module, even though the jobs were visible in the main table. The report was filtering out some service types incorrectly. This has been resolved so all service types appear consistently in the report.
Credit Note Using Wrong Address
When a credit note was raised against a job invoice, the credit note was displaying the site address rather than the invoice address. This was causing confusion where the site and invoice addresses were different. This has been resolved so credit notes now correctly use the same address as the original invoice.
Document Preview Removed from Contract Renew/Review Screen
Following a recent update, the option to preview or print an existing contract document from the Renew/Review screen had been inadvertently removed. Users were no longer able to view the current contract document before completing a renewal. This has been restored — users can once again access the document preview when reviewing or renewing a contract.
Nominal Code Error When Booking Stock to Jobs
When booking a part from a parts request to a job, users were receiving a 'Nominal Code Missing' error even though nominal codes appeared to be correctly configured. The error was misleading as it referenced a branch that could not be configured through the user interface. This has been resolved so parts can be booked to jobs without error, and the error messaging has been improved to give clearer guidance.
Contract Revision History Not Displaying Records
The Revision History popup accessed from the contract global icon was opening but showing no records. Equipment tab details were also briefly appearing before disappearing, and not all columns were visible in the popup.
Error When Off-Hiring Equipment Preventing Invoice Generation
When attempting to off-hire a piece of equipment, the system was producing an error and preventing the off-hire from completing. As a result, users were unable to generate the associated invoice for the customer. This has been resolved and the off-hire process now completes successfully.
Global Icon Not Available for Some Catalogue Items After Raising Equipment Deal
After raising an Equipment Deal, certain catalogue items were displaying a status of 'Action Needed' and the global icon was unavailable, preventing users from accessing the expected actions for those items.
Iplicit Currency Mismatch on Sales and Purchase Transactions
Sales and purchase transactions were being sent to iplicit in GBP even when the customer or supplier had a default currency of EUR, causing currency mismatches when processing payments. This has been fixed so transactions now correctly use the customer or supplier's default currency.
