Enhancements (7):
Mobile Update
A New version of the Mobile App has been released, release notes for this can be found here: Mobile Release Notes
Separate tabs for deal quotes and live Equipment Deals
The Equipment area has been reorganised for easier navigation.
What this enhancement does
Splits the equipment section into two tabs: Deal Quotes and Deals.
Ensures only quotes appear in one tab and only live deals appear in the other.
Keeps the quote record visible even after a deal has been raised from it.
Benefits
Cleaner lists with fewer mixed records on a single screen.
Easier to focus on earlyāstage opportunities versus active deals.
Less reliance on filters to separate quotes from live work.
How it is used?
In the Equipment area, the Deal Quotes tab is used to work with quotations, and the Deals tab is used to work with live Equipment Deals. Searching and filtering is done within the relevant tab, making it straightforward to find the correct record.
Including job value in Equipment Deals, with the option to invoice jobs outside the deal
Equipment Deals have been enhanced so that jobs linked to a deal are fully reflected in the dealās margin, even when those jobs are invoiced separately from the deal. This combined change means:
Jobs related to an Equipment Deal can be set up as part of the deal.
Those jobs can still be invoiced as normal jobs outside the Equipment Deal.
The value and cost of those jobs are included in the Revenue/Cost analysis and margin for the deal.
What this enhancement does
At quotation stage, when a job is added to an Equipment Deal:
The job can be set to invoice outside the Equipment Deal.
A charge code and estimated hours are chosen so that: Estimated labour cost and job revenue are calculated.
Any parts for the job are added with their cost and value.
The Equipment Deal then:
Adds the jobās revenue and cost into the deal alongside the equipment and parts.
Shows the combined position in the Revenue/Cost analysis, including Parts and Labour.
Includes the job in the margin and pie chart for the deal.
When the job is completed:
Actual hours are used to update the labour cost.
The dealās margin is recalculated so that the jobās real cost is reflected.
The jobās invoice:
Is raised as a normal job invoice outside the deal.
Is listed in the Schedule Invoice tab of the Equipment Deal for visibility.
Benefits
Truer profitability
Equipment Deals now show a more complete margin by including the related jobās cost and revenue, not just the equipment and parts.
Operational flexibility
Jobs can still follow the normal job invoicing process outside the deal, while their financial impact is still visible in the deal.
Clear, combined view
The Revenue/Cost analysis and margin view on the deal bring together:
Equipments
Jobs
Parts
so the full picture of profitability is available in one place.
Raise delivery jobs directly from each Equipment Deal item
Equipment Deals now make it easier to turn planned deliveries into real jobs and to keep delivery status in step with the work that is carried out.
What this enhancement does
Adds a Raise Delivery Job action against each sales item in an Equipment Deal.
When a delivery job is raised and then completed, the Actual Delivery Date is updated automatically and the item is marked as delivered.
If no delivery job is needed, the equipment can be marked as delivered directly from the global icon on the Equipment for Sale tab.
Once a delivery job has been raised for an item, the āMark as Deliveredā option is hidden so that delivery is controlled by the job status.
Benefits
Fewer manual steps to create delivery jobs for sold equipment.
Clear, consistent delivery status that is driven either by job completion or by an explicit āMark as Deliveredā action.
Better visibility of which items still need a delivery job and which have already been delivered.
How it is used
From the Equipment for Sale tab in an Equipment Deal, the global icon next to a sales item provides delivery options.
Where a delivery job is required, Raise Delivery Job is selected and the details are confirmed in the popāup. When that job is completed, the deal automatically treats the item as delivered and updates the actual delivery date.
Where no job is required (for example, simple handover already completed), Mark as Delivered can be used directly from the global icon to set the equipment as delivered and record the actual delivery date.
Improved User Interface
Weāve polished button styles to make actions easier to spot and more consistent across the platform.
Updated popup and key screen buttons:
has changed to:
Other screens will be improved over future releases.
Action buttons on some popups have changed to make the main action more prominent:
has changed to:
Clear āComplete Dealā action for equipment deals
Weāve introduced a dedicated āComplete dealā button for equipment deals once everything has been invoiced and the balance is zero. When you use this button, the system highlights any remaining actions (such as undelivered equipment, open spare parts, or incomplete jobs) and then lets you confirm completion. This gives a clear, guided way to finish a deal and avoids confusion about when a deal is truly complete.
New Standard Dashboards
Weāre please to announce 5 new standard dashboards:
Top 10 Spare Parts By Usage Volume
PPM Actual vs Due
Engineer Login Logout Activity
Equipment Downtime Analysis - Top 10
Repair Root Cause Heatmap
these will show in your Self Service Reporting section
Clearer statuses on the Equipment for Sale tab in Equipment Deal
Weāve added a clear status column to the Equipment for Sale tab so you can easily see where each item is in the sales process:
When equipment is first added, the status is blank.
When a catalogue item is linked, the status shows āAction Neededā.
When a purchase order is raised, the status shows āPO raisedā.
When the goods are received, the status changes to āGoods receivedā.
When a transfer job is raised, the status shows āTransfer Job Raisedā.
When the job is completed or the equipment is marked as delivered, the status updates to āDeliveredā.
Once everything on the deal is invoiced and the balance is zero, the status can move to āInvoicedā, and a āComplete Dealā button is available so you can clearly mark the deal as finished.
This enhancement makes it much easier to track the progress of equipment for sale from start to finish at a glance.
Fixes (33):
Offāhired contracts excluded from renewal review
Some contracts that had already been offāhired were still picked up for renewal review, even though they were no longer active. The review process has been updated so that offāhired contracts are no longer included in renewal checks.
Work done notes always show against the correct job
When viewing work done notes from Job Control, a note for one job could sometimes appear as if it belonged to another job. This has been resolved so that work done notes now always display against the correct job.
Web portal dashboard date filters working correctly
On some dashboards in the web portal, changing the date filters caused all cards to show zero values, even when data existed for the selected period. The date filtering has been corrected so that cards now show accurate figures for the chosen date range.
Rolling hire contracts no longer blocked from invoicing
For some hire contracts that converted from a fixed term to rolling at the end of the term, a date field was not cleared correctly, which could prevent invoices from being generated. The contract update logic has been corrected so that rolling contracts of this type now invoice as expected.
Task splitting creates the new job correctly
When splitting a task from an existing job, the system could state that a new job had been created even though no new job existed. This has been fixed so that when a task is split, the new job is actually created and available as expected.
Support for ā+ā in email addresses in communication rules
Email addresses containing a plus sign "+" in the local part (before the @) were not handled correctly in communication rules, and messages were not sent to the full address. The email handling has been updated so these valid addresses are now fully supported.
Correct totals and addresses on purchase orders from quotes
Purchase orders raised from job quotations could sometimes show a total of zero and an incorrect address, even though the line items carried prices. This has been corrected so that purchase orders raised from quotes display the correct total and address details wherever they are viewed.
More accurate engineer locations on the map
In some cases, an engineerās location pin on the scheduler map could appear far away (for example, in the sea), even though work was taking place on a normal job. Location handling has been improved so that engineer positions on the map more accurately reflect where they are working.
Adding multiple items to stock takes without interruptions
When adding items to a stock take run, the first item could be added successfully, but adding further items sometimes showed āitem not foundā even for valid stock, forcing the user to leave and reāenter the run. The process now allows multiple items to be added in one visit to the stock take, making the task faster and more reliable.
Correct values shown on hire invoices after frequency changes
When a hire contract was changed from one billing frequency to another (for example, weekly to monthly), the first invoice after the change could print as a blank document. This has been fixed so that the invoice correctly shows the charges due after a change in billing frequency.
No more duplicate equipment entries when logging service calls
When searching for equipment on the service call screen, some equipment numbers could appear more than once in the results list. The search has been corrected so each piece of equipment appears only once, making selection simpler and more accurate.
Avoiding duplicate part activity when converting quotes to jobs
In some cases, parts requested at quote stage and then autoāissued when the job was created could lead to confusing duplicate records, such as an open parts request alongside issued stock. The process has been improved so that parts requested and parts issued stay aligned, reducing duplication and confusion.
Engineer name shown on work done notes
Work done notes on some jobs did not display the engineerās name, making it harder to see who carried out the work. The notes now consistently show the engineerās name alongside the entry.
Jobs from service reminders can be opened and edited reliably
A small number of jobs created automatically from service reminders could not be opened and showed an error instead. This has been fixed so that jobs raised from service reminders now open and can be edited in the usual way.
Job parts columns not saving adjustments
Adjustments to column widths and order in the job parts list were not being saved, causing columns to reset after a page refresh. This issue has been resolved, and column settings now persist as expected.
Easierātoāread currency values on fixed assets
Currency fields on fixed assets previously showed values without any digit separators, making larger numbers harder to read (for example, £24566.67). We have improved this so that fixed asset currency values now use standard digit grouping (for example, £24,566.67), making them clearer and easier to understand at a glance.
Consistent job sheet format between the system and external integrations
For some customers, the job sheet generated in the web application looked different from the version sent to external systems, leading to inconsistent information being shared. We have updated the configuration so that job sheets sent via integrations now use the same template as the job sheet shown in the web app. This keeps the layout and content consistent, regardless of where the job sheet is viewed.
Data fields now available on preāwork job sheet emails
The preāwork job sheet email in the communications centre did not offer any data field dropādowns, unlike other email templates. This meant users could not easily insert job details into the subject or body. We have corrected this so that the preāwork job sheet email now includes the same data field options as other templates, making it easier to personalise and automate these emails.
Scheduled report emails sending unusable CSV files
A weekly scheduled report sent by email could sometimes include a CSV attachment that appeared corrupted and could not be opened or used. This has been fixed so that emailed CSV reports now open correctly and show the same information as when the report is run manually in the system.
Reliability of saving larger quotes
Users creating larger quotes that took longer to complete could sometimes experience an error when saving, causing them to lose work. We have improved how quote creation is handled so that longerārunning quote entry is more reliable and less likely to time out or fail when you save.
Requested parts not moving through to picking
In certain situations, parts requested for a job did not move through to picking as expected, leaving the request stuck and difficult to complete. This has been fixed so that when parts are requested and received, they now flow correctly into picking and can be progressed without manual workarounds.
Purchase Records filters not showing after being applied
When users created a new company filter in Purchase Records and applied it, the selected filter was no longer reflected in the search fields at the top of the screen. We have fixed this so that when you create and apply a saved filter in Purchase Records, the relevant search fields are now correctly updated to show the filter criteria, making it clear which filter is in use.
Preventing errors when adding long service descriptions
When uploading service schedules, very long service type descriptions could cause errors because they were longer than the system can store.Weāve now improved the upload process so that it checks the length of service type descriptions before they are uploaded. If a description is too long, it is prevented from being uploaded in that form. This keeps the upload process more reliable and ensures service schedules are stored correctly in the system.
Xeroālinked customer sites no longer produce confusing duplicates
For some Xero integrations, a site could appear to be created under more than one customer account in Service Geeni, even though there was only a single underlying site record. We have improved the way Xero contacts are matched to Service Geeni customer sites so that these entries are handled consistently and apparent duplicates are prevented, keeping customer/site links clear for users.
Daily shift reports now send at the correct local time
Some customers were receiving scheduled daily shift report emails one hour earlier than expected around daylightāsaving time changes because the email service was not using the same timezone settings as the main application. The scheduling has been updated to follow the same timezone configuration as the web app, so shift reports are now delivered at the intended local time throughout the year.
Equipment transfer jobs now correctly complete associated transfers
In some cases, when a transfer job was raised and then completed on the mobile app, the related equipment transfer on the web remained stuck without any way to finish the process. Weāve fixed the link between jobs and transfers so that completing the transfer job correctly updates the associated transfer, allowing the movement of equipment to be fully completed.
Job creation for US users
For some US users, raising a job could fail with a dateārelated error even though they had been able to create jobs previously, because dates entered in US format were not always being interpreted correctly. We have standardised how dates are processed during job creation so that users in the US can log service calls and raise jobs without needing to change their language or regional settings.
Correct labour rates for work carried out overnight
Some work carried out overnight around midnight was not always being charged at the correct outāofāhours rate and could instead be treated as standard time. We have corrected the way these times are handled so that overnight work now uses the correct rate in line with your outāofāhours rules.
Unable to change stock record to āall branchesā
Previously, when you tried to change a stock item so that it applied to all branches rather than a specific one, the change appeared to save but the original branch setting still remained. This meant stock could behave as if it was restricted to a single branch even after you had updated it. This has now been corrected so that when you set a stock item to apply to all branches, the change is saved and used consistently.
Accepted parts on jobs now retain the correct selling price
When an engineer requested a part that was already on the job and the request was accepted, the new line added from that request could appear with a zero selling price, creating confusion and risking underābilling. We have fixed the pricing behaviour so that when requested parts are accepted, they are added to the job with the correct selling price
Invalid draft forms no longer block job completion
Some customers were able to end up with draft forms/TCCs that were linked to services or equipment but had no actual questionnaire, and these empty forms were still being added to jobs, leaving engineers unable to complete and submit the work. Weāve closed this gap so only properly defined forms appear on jobs, preventing blank draft forms from blocking job completion.
Correct values on zeroāvalue contract invoices
Some fixedāprice contract invoices that were generated with a zero value could still show a charge on the printed document. The printout now correctly shows a zero value when the invoice is for Ā£0, keeping the paperwork aligned with the invoice that was raised
Miscellaneous text now appears correctly on consolidated hire contract invoices
When a contract or itemālevel miscellaneous charge had been entered, the corresponding text field on consolidated hire contract invoices could be left blank even though the values were correctly charged, meaning customers saw totals without the explanatory text. We have corrected the invoice data so that the miscellaneous text from the contract or equipment is now included on consolidated hire contract invoices as expected.
