Iplicit is a cloud-based accounts package that integrates directly with Service Geeni. Once connected, customer and supplier records are synchronised automatically. This keeps financial information aligned between SG and Iplicit without manual re-entry. Further capabilities of this integration include Tax configuration.
Automated reminders, multi-currency and Document styling.
Getting There
To do this, head over to your System Settings. This is located within the settings Cog at the top right of the screen.
Click on Settings and select System Settings.
When the page opens, you will land on the Company Address page.
Scroll down to the Account Package Integration Profile section at the bottom of the page.
At the bottom of the window, click Edit.
Step 1: Account Link Setup
From the Type field:
Select Iplicit from the dropdown.
Fill in the following fields to complete the setup:
Domain Name
User Name
Authentication Key
You'll receive your Domain name when you create your iplicit account.
You can choose from two configuration values to control the scheduled sync:
AccountsPackageSyncCustomerSettings
Essentially, it's who you invoice. It keeps customer accounts aligned between Service Geeni and iplicit
AccountsPackageSyncSupplierSettings
This is who you pay, it keeps the supplier accounts aligned with Service Geeni and iplicit.
These settings determine whether the 20-minute sync cycle is active, and now that it's linked, you'll find the Sync from Iplicit button on the records page that shows when it the last synced. You can also manually refresh the sync by clicking the button.
Syncing does not sync all financial settings.
Your implementation consultant or Service Geeni Support can review these with you if needed.
How the Sync Works
Customer and Supplier records sync every 20 minutes. This runs in the background and requires no user interaction. On each sync cycle, the data is sent to Iplicit.
Useful Working Tips
If something has not appeared in Iplicit yet, wait for the 20-minute cycle.
If it still has not synced after this window, check Posting Notes for any failure reason.
If you suspect sync delays, check whether AccountsPackageSyncCustomerSettings / SupplierSettings are enabled.
If they are disabled, the automatic cycle will not run.
Because Iplicit is cloud-hosted, it normally operates as the financial source of truth. Service Geeni holds the operational and transactional details. When the sync between the two is successful, it removes double entry and keeps data consistent.
Step 2: Sync Payment Terms from Iplicit to Service Geeni
You can now start to sync the Payment Terms between the two. Getting this right is essential for the sync to work correctly. Without it, you'll be unable to send your transactions to accounts.
Let's start by viewing the Payment Terms in Iplicit.
From your Iplicit account, use the search field and type in payment terms.
The results field shows all available terms.
Take note of the default payment term, e.g., 1M7D - 1 Month and 7 Days.
Now that you have taken note of the Iplicit Default Settings for Payment Terms, head back to Service Geeni to set them up.
You can get to the Customer Details section by:
Heading to System Settings.
Then, navigate to the System Defaults tab.
Scroll down to the Customer Details section.
You now need to set the value of the Payment Terms to the same as Iplicit.
Click on the ellipsis (...) and a new window will open where you can choose an existing Payment Term or create a new one with the +Add button.
Fill in the payment term fields for:
Payment Term
Days
Term Type
Once completed, click Save.
The window will close, and you will be taken back to the Select Payment Terms dialogue box.
Click the Add button again to add all the active Payment Term values (available in Iplicit) to Service Geeni.
Skip this step if the values are the same. If the values are not the same, continue until they are.
Step 3: Set Up Nominal Codes
A Nominal Code links accounts between Iplicit and Service Geeni, enabling accurate posting of transactions. Sales transactions, for example, use the Sales Nominal Code in Iplicit.
Configure Sales and Purchase Codes:
To view your Sales and Purchase Code in Iplicit, type in the Chart of Accounts.
Note the selected codes down. For instance, the Sales Code here in 21010
Then, head back to Service Geeni:
Go to Stock Records and select or create a record.
Under the Financial section, Edit and assign the SA, PA and VAT codes, e.g. the SA Code used for 21010 is Debtors Control Account.
Click the ellipsis on any code field.
Select a code from the list and edit the Nominal code (you can also update the name).
When syncing for a supplier account, make sure the currency codes are the same.
Step 4: Sync Customer and Supplier Profiles
Service Geeni auto-syncs customers and suppliers with iplicit periodically. It is good practice to verify that the profiles in iplicit and Service Geeni are synchronised.
Customer Profile: A complete record of a client you perform work for, used for jobs, contracts, and billing.
Supplier Profile: A complete record of a vendor you purchase from, used for POs, stock, and subcontracting.
Note: Newly added profiles in iplicit will also automatically sync to Service Geeni without manual intervention.
In the Customer Details section, you can set the Payment Terms, Currency Code, Repair, Service and Inspection Charge codes, Invoicing options, Priority level and Country.
Set the value of the Payment Terms field to the same as in Iplicit.
Skip this step if the values are the same. If the values are not the same, click on the ellipsis, and a new window will open.
Click on the Add option.
Enter the payment term details such as Payment Terms, Days, and Term Type.
Once completed, click Save.
The window will close, and you will be taken back to the Select Payment Terms dialogue box. Click the Add button to add all the payment term values (available in Iplicit) to Service Geeni.
Step 5: Adding Purchase & Sales VAT for Transactions
Configure VAT Profiles:
Make sure to sync your VAT codes for income and expense transactions. You can create new ones in Service Geeni or iplicit if necessary.
If the tax code doesn’t exist in Iplicit, add it there first. Once both systems contain the same VAT Code, assign it to your Customer or Supplier record
Also, a VAT profile in Iplicit may have two different rates for purchase and sales-related transactions, whereas a VAT profile in Service Geeni has only a single rate.
If the wrong VAT code is selected, the posting will fail.
Navigate to the System Defaults page under System Settings.
Using the ellipsis in the VAT Code field, you can select, alter, or add a new VAT Code.
A window will pop up, and you will be able to alter existing VAT Codes or create a new one using the add button.
To edit an existing one, click the edit icon in the action tray.
Enter the Iplicit Purchase and Sales Tax Rate Name. These should be the same ones as specified in Iplicit.
Congratulations! You have successfully integrated your Iplicit account.
