How to change or add new Activity Types.

Let's find out what an Activity Type it.

An Activity Type is a label or classification used to record and categorise how an engineer's time is spent during or around a job. It is part of a time allocation system used to log against jobs or tasks.


Getting There

If you need to change or add a new Activity type to allocate time to, you can do this via the Job Details page.

To get there:

  • Head to Job Control

  • Select a Job.

  • Then, on the Edit Job Details page, select the Time tab.

  • Click on the + Book Engineer Time button.

The Book Engineer Time window will open, allowing you to change vital details.

  • You can add an existing or create a new Activity type via the ellipsis (...).

  • Choose an option from the list.

  • You can also create a new type with the +Add button.

  • Enter the Activity Type name.

  • Under Category from the drop-down, choose the Category for the newly created Activity type.

  • Select the category to which the activity belongs.

    • Choose from

      • Working

      • Travelling

      • Break

Only "Working" and "Travelling" categories can be used against jobs.

Working, Travelling, and Break can be used on Engineer Timesheets and the Mobile App.

  • Next, select Link To Job.

Change & Review Activity Type Settings

Within the Activity Types, you can set the rules for how the time is allocated. This is done using the settings below.

  • Link to Job: The time will be logged against the job where the activity was used.

  • Use on Completion: If selected, the activity type will be only available for use on Completion of the task/job.

  • Requires Reason: When the Activity Type is selected, a reason must be entered.

  • Available On Mobile: Enabling will allow the activity type to be selected by mobile users.

  • Check For Full Audit Scan. This functionality is linked to scanning barcodes with the “Products” module enabled and gives additional barcode scanning checkpoints when handling product collection jobs that involve barcode items.

  • Book To Previous Job: This means that the time recorded for that activity will be added to the last job the engineer worked on, not to a new or current job.

  • This is useful in situations where the time being logged is related to wrapping up or travelling from a job, even though the activity happens after the job is marked complete, it still counts as part of that job.

For example:

  • Travelling to Job

    • Let's say an engineer finishes one job, then drives to the next one. That travel time should count toward the new job, so you would not tick Book to Previous Job.

  • Click Save.

You can adjust the settings- for example, you may want to untick "Book to Previous Job" if you do not want "Travelling to Home" time to be booked onto the last job.

Remember, this adjustment will be set at the Activity Type level, so it will apply to all Time recorded when it is used.


Examples of Activity Types

The following settings are an example for the Activity Type "Travelling to Home"

  • Category = Travelling.

  • Link to Job = On.

  • Use on Completion = On.

  • Available on Mobile = On.

  • Book to Previous Job = On.

  • Requires Reason = Off.

  • Check for Full Audit Scan = Off.
