Best Practice: Initial Setup

Learnt the essentials of setting up your Service Geeni account.

Let’s get started!

Before you begin creating customers, jobs and service schedules, there are a few areas of Service Geeni that should be reviewed and configured for your business.

The aim at this stage is to keep your initial setup simple. Configure the information and defaults you need to begin working, rather than trying to configure every available option from day one.


Logging In

The very first step is to log in to Service Geeni.

To do this:

  • Open Google Chrome.

  • Then, locate your Service Geeni URL. It will be something like (but not always) YourCompanyName.Servicegeeni.com.

On the landing page:

  • Enter your Email address.

  • Then, enter your password.

Your CSM provides your Service Geeni URL, email, and password.

Pro Tip: Make sure to bookmark the URL YourCompanyName.Servicegeeni.com/Home/Index

Be careful NOT to use https://identity.servicegeeni.com/login as a bookmark.


Company Details

Start by checking your company information.

  • Go to Settings.

  • System Settings

  • Company Details

  • Select Edit.

Review and update:

  • Your company details and address.

  • Your company logo.

Once complete, click Save.

Pro tip: Your logo is particularly useful to set at this stage, as updating it also updates the documents already configured within the system.


Branch Maintenance

In the next tab along, review your branch information.

  • Click the Edit icon via the Action Tray.

  • Check the branch address details and, where applicable.


Branch Operating Hours

  • Double-click the Branch number to open the Branch Maintenance screen.

Branch operating hours let the system know the branch's time parameters. This works closely with Priorities and SLA profiles.

Priorities can be used to identify the expected response to a job. A response time can be associated with the priority, and jobs can change colour as they progress through that response period.

  • Click Save to confirm any changes.


System Defaults

Next, review your System Defaults.

The purpose here is not to change every available setting.

  • Enable the Bounce back email option.

  • Check that the existing codes and defaults contain the options your business needs before you begin working, such as:

    • VAT codes

    • Charge Codes

    • Priority Codes


Charge Codes

Charge Codes are an important part of the initial setup, but you do not need to build a complicated set of codes before going live.

  • Review the Charge Codes already provided and check that they cover the different ways your business charges for work.

For each Charge Code you intend to use:

  • Open the Charge Code via the ellipsis (...).

  • Select Edit.

  • Review each option that is enabled.

  • Enter the appropriate Charge and Cost values.

  • Where labour rounding is required, the Best Practice discussed in the workshop was to round to the nearest 15 minutes.

  • Save your changes.

Note: At this stage, concentrate on the Charges and Costs for the enabled items rather than configuring every available Charge Code option.

When selecting default Charge Codes, choose the option that represents how the majority of your customers are charged.

If more than half of your customers work in a particular way, use that as the default so you have fewer exceptions to change manually.

If you are not using Hire functionality, an Inspection Charge Code does not need to be selected.
